Dear @Thomas Day,

Thank you for posting your question in the Microsoft Q&A forum. To provide a new employee access to Microsoft Word and other Office apps, you need to ensure they have a Microsoft 365 account and an appropriate license assigned. Here are the steps:

Step 1: Sign in to Microsoft 365 admin center

Step 2: Add the new user

  • Navigate to Users > Active Users > Add a user.
  • Enter the employee’s details (name, username, domain).
  • Set a password (or allow auto-generation) and choose whether they must change it on first sign-in.  User's image

Step 3: Assign a Microsoft 365 license

During user creation or afterward, assign a license that includes Office apps (e.g., Microsoft 365 Business Standard, Business Premium, or Enterprise plans).

To assign:

  • Select the user > Licenses and Apps > Choose the appropriate license.

Official guide: Assign or unassign licenses for users in the Microsoft 365 admin center - Microsoft 365 admin | Mic…

Step 2: Share credentials

  • Provide the user with their sign-in details securely.

Step 4: Install office apps

  • The employee can sign in at Microsoft 365 portal and click Install apps to download Word, Excel, PowerPoint, etc.
  • Each licensed user can install Office on up to 5 PCs/Macs and mobile devices.

Note:

  • If you see “No license available,” confirm you have purchased enough licenses under Billing → Your products.
  • If the user still cannot access apps, check that the assigned license includes Microsoft 365 Apps for Business/Enterprise.
  • Once the license is assigned and the user signs in, they will have full access to Word and other Office apps.

To give access to Word and other Office apps to a new employee as an administrator, you need to follow these steps:

    1. Add the User: Go to the Microsoft 365 admin center and add the new employee as a user. You can do this during the sign-up process or later by navigating to the admin center.
    2. Assign Licenses: When you add the user, ensure that you assign them a Microsoft 365 productivity apps for business license. This license will provide access to Word, Excel, Outlook, and other Office applications.
    3. Installation: Once the user is added and licensed, they can install Microsoft 365 on their devices. Each user can install it on up to 5 PCs or Macs.
    4. Credentials: After adding the user, you can share their credentials with them via email or print them out for secure sharing.

By following these steps, the new employee will have access to Word and other Office applications as part of their Microsoft 365 subscription.
