Outlook (Legacy) 16.109.1 update (MacOS) - Search and Filtering Broken

We've got two users at my work, whose outlook versions were updated and no longer show search results and unread filtering doesnt seem to work. Both users have Outlook Legacy running.

I've gone through the recommended fixes (toggle spotlight, add profile folder to spotlight privacy etc) and I created a new profile and am currently waiting for syncing to finish. But so far have had no luck.

In "New" outlook, search appears to return some results, so it's not completely broken there. If new outlook integrated with address book or autocompleting recipient email addresses, i would make the move off of Legacy.

Is there some known issue with this version of Outlook Legacy having search/filtering issues?

After my previous answer "Clear Application Data" - Since I couldnt activate outlook or excel or word... I was able to finally activate and add the accounts again. And now the search seems to be fine.

So if i had to guess, I think a full nuke of all the profiles and folders, reinstall of the latest build outlook, clear application data, reactivate, readd the accounts. Those were the significant steps that i took.

But throughout this process, it seemed that spotlight was able to see outlook specific messages etc. Just that outlook couldnt communicate with spotlight? I'm not sure, but it seems to be working fine and fast now.

    Hi Steve Shapiro

In addition to the insight provided by the AI, I would like to share that I tried to replicate your situation using Legacy Outlook for Mac version 16.109.1. In my testing, I was still able to use the Unread filter and perform searches as expected.

To better understand your situation, may I kindly clarify the following:

    1. Is this behavior only observed with these two users, or are other users in your organization experiencing the same situation?
    2. When using a new Legacy Outlook for Mac profile with only a non-affected account, does the behavior still occur?
    3. Is there any common pattern between the two affected users, such as the same macOS version or similar environment settings?

In the meantime, you may consider removing the Outlook for Mac application and reinstalling it using the updater.pkg from the Update history for Office for Mac - Office release notes | Microsoft Learn

As the currently available version is Outlook for Mac 16.109.02, you may also try installing this latest version to check whether the behavior continues. Many users have shared that installing from the updater.pkg can help address unexpected behavior.

I hope this provides some direction. If you have any updates after trying these steps, please feel free to share.

Yes, this behavior matches known Outlook for Mac (legacy) search issues tied to Spotlight indexing and profile configuration rather than a specific single build-only bug.

For Outlook Legacy on macOS, search and filters (including Unread) rely entirely on macOS Spotlight. After an update or profile change, several conditions can cause exactly what is described:

    1. Indexing not complete after update/new profile
      • When a new Outlook profile is created or large amounts of data are added (e.g., after an update, re-sync, or import), Spotlight indexing can take significant time. During this period Outlook shows “No Results” and filters such as Tasks or Unread can appear broken.
      • The documented guidance is to allow time for Spotlight to finish indexing and then test search again.
    2. Profile name or location issues
      • If the Outlook 2016/365 for Mac profile name contains special characters (for example /), search can fail.
      • The profile folder must be under the default path:
        ~/Library/Group Containers/UBF8T346G9.Office/Outlook/Outlook 15 Profiles/
      • If the profile name has special characters, rename the profile folder (removing special characters), then confirm the new name in Outlook Profile Manager and set it as default.
    3. Spotlight Privacy and folder location
      • If the Outlook profile folder or any parent folder is listed under System Settings > Spotlight > Privacy, Spotlight will not index it and Outlook search/filters will not work.
      • Ensure the Outlook profile path and its parent folders are not in the Privacy list. If they are, remove them and allow time for reindexing.
    4. Corrupted Spotlight index for Outlook
      • If the above checks are correct and search is still broken, the Spotlight index for Outlook may be corrupted. The documented fix is:
        1. Restart macOS to restart Spotlight services.
        2. Open Finder > Applications > Utilities > Terminal.
        3. Run mdimport -L and verify there is only one Microsoft Outlook Spotlight Importer.mdimporter. If more than one exists, delete the unused Outlook app, empty Trash, restart, and re-test.
        4. Reindex the Outlook profile explicitly with:
                  mdimport -g "/Applications/Microsoft Outlook.app/Contents/Library/Spotlight/Microsoft Outlook Spotlight Importer.mdimporter" -d1 "/Users/<user_name>/Library/Group Containers/UBF8T346G9.Office/Outlook/Outlook 15 Profiles/<my_profile_name>"

Replace <user_name> and <my_profile_name> with the actual user and profile names.
        5. Wait for reindexing to complete, then restart Outlook and test search and filters again.

If New Outlook returns some results while Legacy does not, that is consistent with Legacy’s stronger dependence on the local Spotlight index and profile naming/location. There is no separate fix specific to version 16.109.1 in the provided material; remediation is via the Spotlight/profile steps above. If, after confirming profile naming, folder location, Spotlight Privacy, and reindexing, search is still broken, the documented next step is a full Office for Mac reinstall.
