I would like to be able to archive emails earlier than a specific date. I have not been able to determine how that is accomplished. For example, I would like to archive all emails prior to January 1, 2022

Hi BRIAN ROWE,

Thanks for reaching out to the Q&A Forum.

Let me help you regarding your concern about archiving emails before a specific date.
To archive emails before a specific date, like all emails prior to January 1, 2022, you can follow these steps depending on the Outlook platform you're using.

Option 1: Archive Emails by Date in Classic Outlook Desktop App

  1. Open Outlook.
  2. Go to File > Tools > Clean Up Old Items.
  3. Select the folder you want to archive (e.g., Inbox).
  4. Choose "Archive this folder and all subfolders".
  5. Set the "Archive items older than" date to January 1, 2022.
  6. Choose a location for the archive file (.pst) or use the default.
  7. Click OK.

This will move all emails older than the selected date into an archive file, which you can access anytime from Outlook.

Option 2: Archive Emails Before a Specific Date in New Outlook

  1. Open New Outlook on your desktop.
  2. In the Search bar, type:

 received:<01/01/2022

This will filter all emails received before January 1, 2022.

  1. Select all the filtered emails:
    • Click the first email.
      • Hold Shift and click the last email to select a range.
        • Or use Ctrl + A to select all if the list is fully loaded.
        1. Right-click the selection and choose:
          • Move to Archive (if Archive is enabled).
            • Or Move to Folder > select a custom folder like “Archived 2021”.

If you don’t see the Archive option:

  • Go to Settings > Mail > Customize Actions.
  • Add Archive to your toolbar or message actions.

  • Outlook Web doesn’t support manual archiving by date. However, you can:
    • Use Search with a filter like received:<01/01/2022 to find older emails.
    • Select and move them to a custom folder (e.g., “Archive 2021”).
    • Use retention policies if your organization has them enabled.
