Heading Alignment Issue in Password-Protected Restricted Word Document

Dear Microsoft Support Team,

I would like to report an issue that I need assistance with.

I have a Word document that is protected under Restrict Editing mode with a password. However, when another user opens the document, the heading formatting unexpectedly shifts — text that was previously left-aligned becomes centered on the page. This occurs even though the document is fully restricted and no edits are allowed.

Additionally, we noticed that Track Changes is enabled, and the change log still shows the original author’s username, even when the document is opened by another user.

This behavior seems inconsistent with how protected documents should behave. I have attached screenshots for your reference:

Please help investigate why this formatting shift happens in a restricted and password-protected document, and whether it is related to layout rendering, style corruption, or Track Changes metadata.

Thank you for your prompt response. I appreciate your patience while we investigate the formatting issue you’re experiencing. Since your document is based on the default Normal template and the “Automatically update document styles” option is already unchecked, the issue may be caused by how Word interprets styles or displays content on different machines. To resolve this, please follow the below steps: 

  1. Verify the heading style definitions 
  1. Open the document. 
  2. Go to Home > Styles, right-click the affected heading (e.g., Heading 1) and select Modify.

  1. Ensure the following are explicitly set:  
    • Alignment (Left, Center, Right) 
    • Spacing Before/After and Line spacing 
    • Font type and size 
    • Confirm Automatically update is unchecked

  2. Click OK to save changes. 

   

  1. Check compatibility mode 
  1. Go to File > Info > Check for Issues > Check Compatibility.

  1. If the document is in Compatibility Mode, click Convert to upgrade it to the latest Word format. 
  2. Save the document and reopen it. 
  3. Converting ensures that all modern style features are applied consistently across different versions of Word.

    In the Templates and Add-ins dialog, the recipient may have the box for "Automatically update document styles" checked. The default setting for that is to have it unchecked.

    After a recipient has noticed the formatting change, ask them to look at the Undo drop down (on the Quick Access Toolbar). Does it display any clues to what might have happened?

    If possible, share an affected sample document with the forum so that we can take a closer look. Be sure to remove any sensitive information from the document before sharing it.

    If the problem still persists, please make sure that “Automatically update document styles” is unchecked in the Templates and Add-ins dialog.

    1. Open the affected Word document.
    2. Go to the Developer tab.
      • If you don’t see it, click File → Options → Customize Ribbon, then check the box for Developer and select OK. User's image

    4. In the Templates and Add-ins window that opens, look near the bottom.
    5. Make sure the checkbox “Automatically update document styles” is not selected. User's image
    6. Click OK to save and close.

    This helps prevent Word from refreshing your document’s styles each time it opens, keeping the formatting consistent and stable across different devices.

    1. Are you using a business email (e.g., @companyname.com)? Or is it a personal email type (@hotmail, @gmail, @outlook.com)  
    2. Which version of Word are you using? Go to File > Account > About Word.
    3. Which restriction method was used in the file? No changes (Read only), Filling in forms, or Comments.
    4. Does the document use any custom template .dotm file?
