Sending, receiving, and organizing email in Outlook.com

Please confirm:
- Is the sender using a company/domain email address, mailing list, or another personal email account?
- What exact bounce or deferral error does the sender receive?
- Does this happen only with this one sender, or are other senders also affected?
Please follow these steps if the account is personal:
1) Check Outlook.com mailbox settings first
Sign in to Outlook.com, then go to Settings > Mail > Junk email.
Review these areas:
- Blocked senders and domains: remove the sender’s address or domain if listed.
- Safe senders and domains: add the sender’s full email address and domain.
- Safe mailing lists: add the mailing list address if the daily email comes from a subscription or list.
2) Check rules, forwarding, and filters
In Outlook.com, go to Settings > Mail > Rules and delete or disable any rule that could move, delete, forward, or redirect messages from that sender. Then check Settings > Mail > Forwarding and confirm forwarding is not enabled unexpectedly.
3) Search all folders
Search for the sender’s email address in Outlook.com and check:
- Inbox
- Junk Email
- Deleted Items
- Archive
- Other, if Focused Inbox is enabled
- Any custom folders
Also clear any message filter by choosing Filter > All.
4) Ask the sender for the exact deferral or bounce message
Please ask the sender to provide the full error code or bounce text, with personal information removed before sharing it here.
5) Ask the sender to follow Microsoft’s sender-side guidance
If Microsoft is deferring or rejecting mail before it reaches your mailbox, adding the sender to Safe senders may not be enough. The sender or their email administrator should review Microsoft’s sender guidance here: Sender Support in Outlook.com | Microsoft Support. If the sender manages their own mail system, they should also review Announcements
6) If this is a business or bulk sender
Ask the sender to confirm that their mail system has valid SPF, DKIM, and DMARC records, and that their sending IP or domain is not having reputation problems.
