Use standard journals

You can use standard journals for transactions that are posted frequently with few or no changes. A standard general journal is a general journal that is saved as a default set of lines. It can be accessed at a later stage to automatically fill in general journal lines. You can save as many standard journals as you want.

A standard journal is created from a journal and it can be:

  • Created only for journals of the type General.

  • Used only within the same journal template.

  • Used for the different journal batches from the same journal template.

To save a standard journal, follow these steps:

  1. Select the Search for Page icon in the top-right corner of the page, enter general journals, and then select the related link.

  2. Enter one or more journal lines.

  3. Select the journal lines that you want to reuse.

  4. Select More options.

  5. Select Actions > Functions > Save as Standard Journal.

  6. To save a new standard general journal, on the Save as Standard Gen. Journal request page, enter a code and a description.

  7. If you have already created one or more standard item journals, and you want to replace one of those journals with the new set of item journal lines, in the Code field, select the code that you want.

  8. If you also want to save the journal line amounts, select Save Amount.

  9. Select OK.

To use one of the saved standard journals, follow these steps:

  1. Select the Search for Page icon in the top-right corner of the page, enter general journals, and then select the related link.

  2. Select More options.

  3. Select Actions > Functions > Get Standard Journals. The Standard General Journals page opens, showing codes and descriptions for all existing standard general journals.

  4. To review a standard general journal, select More options > Related > Standard > Show Journal.

  5. On the Standard General Journals page, select the standard general journal that you want to reuse and then select OK.

The general journal now displays the lines that you saved as the standard general journal.
