Outlook – Missing “Save but don't send” option when editing shared mailbox calendar entries

Problem Description:
A user (User A) has full access to a shared mailbox calendar (her manager’s calendar).
When she opens a meeting entry and adds text in the notes area, she wants to save the change without sending an update.

  • Expected options when closing:
    1. Save changes and send update
    2. Save changes but don’t send
    3. Close without saving
    Actual behavior for User A:
    Only 2 options appear:
    • “Yes – save changes and send update”
    • “No – don’t update and close”
    The option “Save changes but don’t send” is missing. Comparison:
    Another colleague (User B) who has the exact same permissions on the same shared mailbox receives all 3 options correctly.
    So permissions are not the issue. Troubleshooting already performed:
    • Verified mailbox permissions (Full Access confirmed)
    • Re-added the shared mailbox
    • Re-created Outlook profile
    • Cleared cache
    • Tested in Online Mode (no cache)
    • Restarted Outlook multiple times
    • Same issue persists
    • Tested on User B’s Outlook → works
      So the issue is specific to User A’s Outlook client.
  • Just to clarify: the user is not modifying the date, time, or location of the meeting. She is only adding a note in the free text area inside the body of the calendar entry. In this case, Outlook should allow saving the changes locally without sending an update. However, the option "Save changes but don’t send" never appears for her (only “send update” or “don’t update and close”).

    2. The affected user logged into Outlook on a different device, but the option “Save changes but don’t send” is still missing.

    I’d like to clarify the first point: when you say “Tested on User B’s Outlook → works,” do you mean that you logged User A into User B’s Outlook client and User A saw all three options?

    In addition, could you please:

    • Compare the Outlook build/version between User A and User B (File → Office Account → About Outlook) to confirm if they are on the same build and update channel.
    • Send me a screenshot of the pop-up notification you see when closing the meeting after making changes (via private message).
