Hi,

I have a task to investigate the options available for the following SharePoint analytics features.

For each point, could you please let me know if options are available out of the box, or if there are other configuration options (e.g., PowerShell script) available.

  1. In site usage and page analytics, can the date ranges go up to 1 year? At present, the range is 7, 30, 90 days.

  1. In site pages, when exporting to Excel, is there an ability to select the date range before exporting the data of all the site pages?

  1. In site pages, when exporting to Excel, is there an ability to capture the number of views (the number of likes is available)?
  2. In site usage analytics > Overall traffic > Unique viewers, it says "The 90 day figure isn't available for this metric". How can this data be obtained?

The unavailability of this data seems to contradict this Microsoft page: https://support.microsoft.com/en-us/office/view-usage-data-for-your-sharepoint-site-2fa8ddc2-c4b3-4268-8d26-a772dc55779e?ui=en-us&rs=en-us&ad=us

    Hi Nishanth Chakkere Ramesh

Thanks for reaching out to Microsoft Q&A forum support

Based on your description, I understand that you're currently exploring the available options for specific SharePoint analytics features. I’ve conducted some research and testing in my own environment, and the findings I’ve gathered below may be helpful to you.

1.In site usage and page analytics, can the date ranges go up to 1 year? At present, the range is 7, 30, 90 days.

As far as I know, SharePoint Online built-in site usage and page analytics are limited to 7, 30, and 90-day date ranges for most metrics, such as unique viewers, site visits, page views, and average time spent per user. There is no native option to extend these analytics to a 1-year (365-day) range for site usage or page analytics.

In case you use The Microsoft 365 Admin Center, SharePoint site usage report that extends to 180 days for certain metrics (e.g., total files, active files, storage usage), but this is still short of a full year and doesn’t cover all site usage or page analytics metrics as stated in Microsoft 365 admin center SharePoint site usage reports - Microsoft 365 admin | Microsoft Learn

    2. In site pages, when exporting to Excel, is there an ability to select the date range before exporting the data of all the site pages?

This export is fixed to 90 days for metrics like unique viewers, site visits, and site traffic, and only 7 days for popular content (e.g., news posts, documents, pages). Currently, there is no native option to select a custom date range before exporting.

3.In site pages, when exporting to Excel, is there an ability to capture the number of views (the number of likes is available)?

The site usage report export includes data for unique viewers, site visits, popular platforms, and site traffic over 90 days, as well as popular content (pages, news posts, documents) for the last 7 days. This export includes the number of views for popular pages. However, this is limited to the top pages for the last 7 days, not all site pages, and there’s no option to customize the export to include view counts for all pages over a different period.

However, I did some research and found these instructions for tracking viewers of files and files in SPO. You can follow the instructions at the following link: How to track viewers of files and pages in SharePoint Online | SharePoint Maven

4.In site usage analytics > Overall traffic > Unique viewers, it says "The 90 day figure isn't available for this metric". How can this data be obtained?

In Site Usage analytics, the “Unique viewers” metric under “Overall traffic” shows data for the last 7 and 30 days, but the 90-day figure is explicitly noted as unavailable. This is a known limitation in the out-of-the-box interface.

Based on my knowledge, you can try to use Microsoft Graph API or Power BI as workaround methods to build custom reports that track unique viewers over time or consider using PnP PowerShell to periodically log and store viewer data for long-term analysis.

5.In site usage analytics, is it possible to obtain the data of the "Popular content in the last 7 days", for 30 or 90 days?

Unfortunately, this report is strictly limited to the last 7 days, and there is no out-of-the-box option to extend this to 30 or 90 days for the "Popular content" metrics.

Hope my answer will help you
