Sharing a whiteboard with an external guest user

I have been using Business Standard 365 since August 23. I teach English online so being able to share and collaborate is vitally important. When I signed up for Business standard I thought it would be excellent for this reason. An integration with OneDrive, Teams and Outlook; Share documents and use the whiteboard to collaborate with guest / external users that I choose, to allow / grant access. BUT NO... Nothing is that easy is it!!!

At first I thought I wasn't doing something correctly. A setting in one of the many admin panels. (Which one should I choose? - Entra? Sharepoint? Teams? Domains Admin?) that was preventing my clients from gaining access. But no, it wasn't me.

Microsoft don't want my guest users to be able to share and collaborate using a personal whiteboard that I created... What??? I hear you cry....

Yes, I know I was shocked too. A collaborative tool, created to share and collaborate that ISN'T collaborative.... Excellent... :-) Well done!!!

I don't think I'm asking for much. As a teacher I need the following functionality for my clients:

To be able to -

  1. Share and collaborate using Whiteboard during a teams meeting. (Guests / external users)
  2. Share and collaborate using Whiteboard outside the hours of a Teams meeting (Guests / external users) - For homework I set
  3. Share and collaborate using OneDrive

The thing that really gets me though. I found out recently that if you are a user of Microsoft Education 365 the functionality I mention above is available for FREE... Yes, Free!!! It can do all the things I want and you don't even have to pay... And as a Business Standard user I have to pay and I'm blocked from being allowed to benefit from the functionality granted to the FREE users of Education....

I have spent a lot of time and energy on this problem. Please share your experiences if you are having the same issue... Thank you

    I specifically purchased Business 365 because I was lead to believe I could share the whiteboard with guest users that I could nominate. Now after months of trying, thinking it was my fault, I find out I can't.. Yet as we both know it is possible in Education 365 and they get that for free... This is not the first time I've raised this issue... How load to I need to SHOUT BEFORE SOMEONE HEARS ME!!!!!!!

    I am one person battling against an enormous multi-million dollar organisation. My voice doesn't count. You say it does but I don't believe you... That's the truth... Microsoft can do what it wants... That's why people like me feel so frustrated an write stuff like this... I'm just trying to do my job and provide the best service I possibly can. That's all I want to do...

    Hello Libeamlak Thank you for your reply and taking the time and trouble to investigate this issue.Next week when I have more time, I will read your reply in more detail and prepare another video to share with you.I have sent a list of questions to the Business Standard Microsoft support team. They have assigned a support agent (Asia R) and I am waiting for a reply to my questions. FYI, my questions also involved a transfer from Business Standard to Education 365, that I think will better suit my needs and the needs of my clients. (copy attached)Best regardsAndrew

    Hello out there.... Is there anyone else who has any other thoughts about my post?? Or perhaps everyone is happy because someone has provided a reply which seems to ticket all the boxes and attempts to answer all the questions but actually doesn't resolve anything, because I still can't collaborate using the whiteboard that I pay for....

    I guess that's how it works in the corporate world. If in doubt don't say anything and perhaps the problem will just go away...

    Does anyone own there own business or at some point in their lives has run their own business? Think back to those days now.... Do you remember what it was like??? Now think of me...

    I can't believe that I'm the only person who has requested this functionality since whiteboard existed within Teams / Office 365. There must be some intelligent people who work for Microsoft who have thought about the same question of integration / collaboration / sharing... But it's like you're all scratching your heads and saying "The computer says no!!!" You need to search a comedy series 'Little Britain' to understand that joke...     I'm sorry to hear that you are experiencing difficulties with sharing a whiteboard in Microsoft 365 business standard with external guest users. However, I can confirm that the ability to share and collaborate using Whiteboard during a Teams meeting with external guest users is available in Microsoft 365 Business Standard. Therefore, this feature will allow users to share whiteboards with external guests of your tenant via a personal share link (PSL). This feature will respect any OneDrive/SharePoint sharing settings your tenant has enabled. Additionally, if your tenant has Business to Business Invitation Manager (B2B IM) enabled, this feature will allow you to send a whiteboard via PSL to external users and B2B IM will create a guest user account for them so they can access the file. However, there are a few requirements that must be met for external sharing to be possible: 

    • Business-to-business only: the user you are sharing with must have an AAD account.
    • Guest only: the user you are sharing with must have a guest account in your tenant.
    • Your company must allow sharing files with external users.

    For homework, you can set up guest users to access to their whiteboard at any time via a USRL added to their personal OneDrive folder. For additional information, you can refer to External Sharing - Microsoft Support

    However, I do understand your concern about this feature that how it helps you to improve your work efficiency but currently the feature you are inquiring like share whiteboard during team meeting and outside of the hour of teams meeting for guest/external access doesn't seem feasible at the moment, so I greatly appreciate your suggestion and apologize for the inconvenience this may cause. At this point, it is suggested to submit your valuable feedback directly to Microsoft product development team by either go to Help from your dedicated App > submit Feedback or by posting on Ideas · Community (microsoft.com) . This is require because as we are from community team, we can only assist you to troubleshoot the query/share work around (if we have for any by design query) and providing you required information for feature’s availability status.

    I also understand your frustration regarding the differences in functionality between Microsoft 365 Education and Microsoft 365 Business Standard. However, it is important to note that these are two separate products with different features, pricing structures and design purpose. As a result, there are some more efficient and free services in one subscription plan, while they are limited on the other subscription as both are used for different purposes and are used by different users. Therefore, I will surely raise your concern to our dedicated product development team and also submit your valuable suggestion via the above feedback link.
