Additional meeting and call-related features and issues within Microsoft Teams for business
Dear @Vaishnavi S,
Good day! Welcome to Q&A forum!
Regarding your situation, if you weren’t part of the original meeting, you can’t directly access the chat messages, even if someone shares the recording with you.
These are the reasons:
- Chat and Recording are separate: The recording only includes audio, video, and screen sharing. It doesn’t capture the chat messages inside the video file.
- Chat access is Permission-based: Only people who were invited to the meeting or joined it live can see the chat. If you weren’t part of the meeting, you weren’t added to the chat thread.
- Recording access doesn’t include Chat: You might be able to view the recording; however, you might not see the chat as they’re stored and shared separately.
Therefore, kindly try the following suggestions to have access to chat messages:
- It is best to ask for the Chat History: The easiest way is to ask the person who shared the recording if they can also share the chat messages or transcript. They can copy and paste key parts or export the full chat.
- Check for a “Recap” tab: If the meeting was scheduled and your organization uses Teams Premium or Microsoft Viva, there might be a “Recap” tab with transcripts and other meeting details. However, this feature isn’t always available to external viewers or if it wasn’t enabled.
-
- You could also listen for verbal mentions: Sometimes, important chat messages are read aloud or referred to during the meeting. Kindly pay close attention to the recording for any such references.
To sum everything up: While you can view the recording, the chat is private to meeting participants. To access it, you’ll need help from someone who was part of the meeting. Asking for the chat directly is usually the best approach.
