Hi @elizabeth D
Thank you for reaching out to the Microsoft Q&A Forum.
Based on your description, I understand that you need to send emails to groups using the BCC field, but you are experiencing a high number of emails bouncing back. This can certainly be a frustrating issue. Could you please provide a little more information?
-Are you using a Microsoft 365 Business account or a personal account (like Outlook.com)?
-Are you sending these bulk emails to internal colleagues within your organization or to external recipients?
-Could you provide the specific error message or bounce-back code that you receive? This is usually found in an email called a non-delivery report (NDR) and is the most important clue for diagnosing the problem.
Before you send those details, please review the information below which covers standard methods and potential causes.
First, how are you currently sending these group emails? Here are a couple of common methods: Method 1: Creating a Contact Group in Outlook
- To create the group: In the Outlook desktop app, go to the People tab on the bottom left > In the top ribbon, click New Contact List > Give your group a name, click Add Members, and select the contacts you want to include > Click Save & Close.
- To send using BCC: When you compose a new email, click the BCC button to show the field. Then, type the name of your contact group into the BCC line or look for the group. Outlook will send a copy to each member.
Method 2: Using a Microsoft 365 Group (for Business Accounts)
Go to Microsoft 365 Admin Center > Select Groups > Active groups > Choose the group you want to edit > Go to Settings > Enable the option “Send copies of group conversations and events to group members’ inboxes.”
Bulk Emailing and Spam Filtering A very common reason for bounce-backs when sending to many people at once is that email servers can flag your message as potential spam. Microsoft’s protection systems use a Bulk Complaint Level (BCL) to identify mass mailings. If your email is rated as bulk, receiving servers are more likely to send it to the Junk Email folder or block it entirely, causing it to bounce back.
If you are sending to external recipients, your emails are subject to outbound spam policies and sending limits to protect your account's reputation. You can read more about this in this Microsoft forum: https://learn.microsoft.com/en-us/answers/questions/2286659/bulk-billing-emails.
I hope you can send me the additional information, especially the error codes from the bounce-back emails. With those details, I can continue to help you to the best of my ability.
