I need to revery the admin account for my business. The employee that had control over it left my company many years ago. I just recently found out that my account the employees accounts are administrated with her old admin account which we have no information over what so ever. I already filled out the recovery forms but the account has not been accessed in years and she was the one to set up the accounts so I really do not know what information was used.

🔐 Step-by-Step Guide to Recover Your Admin Account

    1. Use Microsoft’s Account Recovery Form

Since you've already submitted the recovery form, make sure:

    • You used the correct form for Microsoft 365 for Business: Microsoft Admin Account Recovery
    • You provided as much detail as possible—business name, domain, billing info, and any known email aliases.
    1. Contact Microsoft Support Directly

If the form hasn’t worked, escalate:

    • Go to Microsoft 365 Support
    • Choose “Contact Support” and request a callback or live chat.
    • Explain that the admin account is tied to a former employee and you no longer have access.

    Be ready to verify:

    • Proof of business ownership (e.g. registration documents, invoices)
    • Domain ownership (DNS records, email headers, etc.)
    • Any billing history tied to the account
    1. Verify Domain Ownership

If your business uses a custom domain (e.g. @yourcompany.co.za), you can prove ownership by:

    • Logging into your domain registrar (like GoDaddy or Afrihost)
    • Adding a TXT record or MX record that Microsoft provides
    • This helps Microsoft confirm you're authorized to reclaim admin rights
    1. Check for Secondary Admins

Sometimes businesses have more than one admin:

    • Try logging into admin.microsoft.com with other known business emails
    • See if any have elevated privileges
    1. Create a New Tenant (if all else fails)

If recovery is impossible and Microsoft confirms the account is unrecoverable:

    • You may need to create a new Microsoft 365 tenant
    • Reassign licenses and migrate data from user accounts (if accessible)

    💡 Pro Tip

Once you regain access or set up a new admin account, immediately:

    • Assign multiple global admins
    • Document recovery procedures
    • Use a shared password manager for critical credentials

    Dear @Maria,

Thank you for reaching out to the Microsoft Q&A Forum.

I understand that you are in a challenging and critical situation. Losing control of the Global Administrator account for your business's Microsoft 365 environment (which is what typically manages all employee accounts) is a serious issue, especially since the former employee left years ago and you lack the original setup details.

While I can provide the steps and the official terminology you need, please understand that recovering a Global Administrator account without any known credentials or access to recovery methods cannot be resolved by a forum moderator. This is a security-critical issue that requires direct interaction with Microsoft's Data Protection Team to prove ownership of the entire organization.

The best way to do this for a business account is by phone. You can follow this article to check global customer support phone number from your region.

User's image Here are some tips and an example of a prompt to help you navigate the IVR more effectively:

In some countries, it is an automated conversation like: First, when you call the hotline, it will be asked as follows:

IVR: What kind of problem are you concerned about?

    You: Account recovery.

IVR: What kind of product do you use?

    You: Office 365 for business.

IVR confirmation: education or company account?

    You: For companies

    IVR: Are you an administrator?

    You: Yes.

IVR: Do you have the other administrator in your organization?

    You: No.

IVR: Do you need a... Service request?

    You: Yes

Alternative, you can create a new tenant account and submit your request from there.

To set up a new tenant, please follow these steps:

    1. Visit Compare Office 365 Enterprise plans and pricing, choose any plan and click try for free to start a free trial.
    2. Choose any plan (e.g., Business Basic, Standard, or Premium) and click "Try for free" to start a free trial.
    3. Follow the guided setup process to create your new trial account.
    4. Once the new tenant is created, you should be able to access its support portal and submit your ticket.
    5. Log in to the Microsoft 365 admin center (admin.microsoft.com).
    6. Navigate to Show all > Support > New service request
    7. In the request, explain your situation in detail.

The support team will guide you through the identity verification process to help you regain access to your account.

    Important notes:

    • This new trial tenant does not grant you access to data or settings of your original locked tenant. It only serves as a temporary way to contact Microsoft support.
    • Be prepared for Microsoft to want to verify your identity and administrator privileges for the old tenant.
    • The processing time may be longer because you are contacting support from another tenant.
    • Remember to cancel the trial subscription as soon as your original account is restored to avoid unwanted charges. You can do this in the Microsoft 365 admin center under Billing → Your products.

I truly hope you get your issue resolved swiftly. Please know that even though I can't directly intervene, directing you to the correct, specialized support is the most effective help I can provide from my position. I'm sincerely sorry that I can't assist you further at this stage, but this matter may be beyond our current capacity. Once you have a Support Ticket ID, you can share it with me here in the Microsoft Community via a private message. This will allow me to track the progress and ensure your case receives the necessary attention.
