Urgent help: Page numbers keep changing in word document when I close it

Hi everyone,

Page numbers change when I close and open the document again. For example, after 14 it is again 0. How can I permanently solve this problem? I asked ChatGPT. It suggested Ctrl+F11 to lock page numbers, but I couldn't find this info on the Microsoft website. There are some unnecessary section breaks as well, but I can't delete them in both the "print layout" and "draft" versions. I used to delete in the "draft" version even if I couldn't in the "print" version. I appreciate your help.

    Ctrl+F11 (or Ctrl+Fn+F11 on some keyboards) locks the fields in the current selection. The page number is a field, meaning that locking it would work in theory, but it wouldn't fix the page numbering issues you are seeing. For example, if you managed to lock the page number field in one section, the numbering would be incorrect.

    Click in each section and go to Insert tab > Header & Footer group > Page Number > Format Page Numbers. In the Page Number Format dialog box, make sure that "Continue from previous section" is selected and click OK. Repeat for the next section.

    Thank you for your question. The behavior you’re seeing mostly comes from section breaks + page number formatting in that new section (often set to “Start at 0” or “Start at 1” rather than “Continue from previous section”), sometimes caused by header/footer linkage issues. Locking fields (Ctrl+F11) does exist in Word, but it simply freezes the current value of the {PAGE} field; it doesn’t correct numbering logic and can cause other problems.

    Here are some workarounds you can try to resolve this issue:

    Permanent fixes (do in order)

    A. Normalize page-number formatting across all sections

    • Click into the header or footer where the number appears.
    • Header & Footer ▸ Page Number ▸ Format Page Numbers…
    • In Page numbering, select Continue from previous section.
    • Click OK. Repeat for each section where numbering resets (use the status bar to know when you enter a new section).

    If you truly need a section to start at a specific number, use Start at: and enter the value you want (usually 1), but do this only where intended.

    B. Re‑link headers/footers so they inherit numbering

    Page numbers are stored in headers/footers per section. If a section’s header/footer is not linked, it can carry an independent numbering setting.

    • In the header/footer, ensure Link to Previous is ON for the types you use (Primary, First page, Odd/Even):
    • Header & Footer ▸ Link to Previous (it should appear pressed).
    • If you use Different First Page or Different Odd & Even, check each variant’s linkage separately; they’re independent.
    • After linking, reapply Format Page Numbers… ▸ Continue from previous section if needed.

    C. Remove unnecessary section breaks safely

    Section breaks can’t be deleted if:

    • The cursor is inside a table that spans the break,
    • The doc is protected,
    • The break is required for layout (different margins/orientation).

    Safe removal process:

    • Switch to Draft view (Windows: View ▸ Draft, Mac: View ▸ Draft).
    • Place the caret just before the “Section Break (Next Page)” line and press Delete.
    • If the caret is in a table, Table ▸ Split Table or move the break outside the table first.
    • After deletion, immediately check page-number formatting (Step A) because headers/footers merge when sections merge.

    Power tip: Find/Replace can locate breaks:

    • Home ▸ Replace ▸ More ▸ Special ▸ Section Break, then Find Next.

    Don’t mass‑Replace until you understand each break’s purpose. Removing breaks can merge margin/orientation settings.

    D. Rebuild broken numbering fields (if they’re corrupted)

    If {PAGE} fields or header/footer stories are damaged:

    • Delete the page number from that header/footer.
    • Insert ▸ Page Number again (choose position/style).
    • Open Format Page Numbers… and set Continue from previous section.
    • Press Ctrl+A then F9 to update all fields.
