    Dear @Emma,

Thank you for posting your question in the Microsoft Q&A forum.

When the “Breakout rooms” button is missing or you can’t send people to rooms, it almost always comes down to role, meeting type, client, or policy. I understand how important breakout rooms can be for your meetings, and I truly appreciate your effort in trying to resolve this.

Before giving you the best solution, could you please confirm these questions below to help me diagnose the issue more effectively:

    • Were you the Organizer or a Co‑organizer, or just a Presenter/Attendee?
    • Was this a standard scheduled Teams meeting, or a webinar/live event?
    • Did you join from the desktop Teams app (Windows/Mac) or via web/mobile? Is your app updated to the latest version?
    • Has your IT admin confirmed that your meeting policy allows breakout rooms?
    • Did you try creating breakout rooms before the meeting started or during the meeting?
    • Approximately how many participants were in the meeting?
    • To help us focus on what hasn’t worked yet, could you please share the specific steps you’ve already completed?

When the Breakout rooms option is missing or you cannot send participants to rooms, it usually relates to one of the following reasons. Therefore, I highly recommend you check again these steps:

Step 1: Check Role in the meeting

Only the Organizer or Co‑organizers can create and manage breakout rooms. If you are a Presenter or Attendee, the option will not appear. For information, please refer to Manage breakout rooms in Microsoft Teams - Microsoft Support

Step 2: Check the Meeting type and client

Breakout rooms are supported in standard scheduled Teams meetings. Please ensure you are joining from a supported Teams client for Windows or macOS and that it’s updated to the latest version. Additionally, you have to be in the same organization as the meeting organizer.

To see Breakout rooms in your meeting controls, you must be a meeting organizer of a scheduled private meeting, a Meet Now meeting, a scheduled channel meeting, or a channel Meet Now meeting.

Note: Linux, web, iOS, iPadOS, Android (including Chromebook), PSTN, and VDI clients are currently enabled for breakout room attendees, which means participants joining from these clients can be moved to breakout rooms but cannot manage breakout rooms.

Step 3: Policy settings in The Admin Center

Your Teams admin needs to confirm that your meeting policy has Allow breakout rooms enabled. If this setting is off, the control will not show even if you are the Organizer.

To verify the meeting policy settings in Microsoft Teams. Breakout rooms are controlled by the AllowBreakoutRooms parameter in Teams meeting policies, and this setting must be enabled for the organizer.

Currently, the most reliable way to check and enable this setting is through PowerShell. Your IT admin can run the following command to confirm and update the policy:

    Step 1: Check current setting

Get-CsTeamsMeetingPolicy -Identity Global | fl AllowBreakoutRooms

    For reference: Get-CsTeamsMeetingPolicy

Step 2: Enable breakout rooms in the policy

    Set-CsTeamsMeetingPolicy -Identity Global -AllowBreakoutRooms $true

For reference: Allow Breakout Room - Meeting Policies and Set-CsTeamsMeetingPolicy

After the policy is updated, please ensure:

    • You are the Organizer or Co‑organizer of the meeting.
    • You join from the desktop Teams app (latest version).
    • You sign out and back in after the policy change for it to take effect.

If you don’t have admin access, please share this information with your IT team so they can confirm the setting for your account.

I hope this information is helpful. Please follow these steps and let me know if it works for you. If not, we can work together to resolve this.

Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

Thank you for your patience and your understanding. If you have any questions, please feel free to reach out.

I'm looking forward for your reply.
