Recurring Outlook Meeting Appointments

Hello

Wanted some help as the best way to manage recurring meeting appointments when the meeting room 'resource' isn't available for all nominated meeting dates.

At the moment, if I wanted to book a weekly recurring meeting for 8 weeks and the meeting room resource I want is free except for all but 1 of the dates, the meeting room will not accept this booking for any of the dates.

This makes it extremely cumbersome, as I then have to make this recurring 8 week meeting without a meeting room. And then go back to each of the 8 dates separately and book a meeting room resource separately.

Using the above as an example, is there a way that Outlook could accept the meeting room resource booking for the 7 available dates and let me know that 1 date it wasn't able to book the meeting room resource? I would then only have to find an alternative meeting room resource for that 1 date, rather than book all 8 separately.

I'm sure this would be an issue that many organisations face.

Currently, Outlook and Exchange handle recurring meetings as a single unit. This means if a room isn’t available for even one occurrence, the whole series can’t be booked. Unfortunately, there isn’t a built-in way to automatically accept the dates that are free while highlighting only the conflicts. 

While native Outlook functionality doesn't currently allow for automated partial acceptance of dates, we find that the most efficient approach to handle these conflicts is the following: 

  1. Identify Availability: By using the Scheduling Assistant in your meeting request, you can easily identify the exact date the room is unavailable. 
  2. Book the Available Dates (Series A): Create the primary recurring meeting for the dates when the room is free, ending just before the conflicting date. This ensures the room accepts the majority of your desired meetings in one step. 
  3. Address the Exception (Meeting/Series B): For the conflicting date(s), create a separate meeting invitation to reserve an alternate room or find another solution. 

This approach often saves significant time compared to manually adjusting each individual meeting. 

We also appreciate you highlighting the point about the room name sometimes remaining in the Location field even after the resource has declined the booking. This can understandably cause confusion. 

Please note that the Location field is purely informational and does not automatically reflect the actual booking status. We recommend manually removing the room name from this field if the booking was declined, to prevent misleading information for attendees. The true status is confirmed only by the rejection email or the Scheduling Assistant.
