We are trying to print addresses on envelopes. We have used Mail Merge in Word to set it up from our Excel sheet. It looks to be set up properly, but when I go to print on the test envelope, it prints it as if it were a standard size sheet of paper. I have adjusted the printer settings (this particular printer does not have a custom option so I went with 4x6 as that is the closest I can get to our size of 7.25" x 5.25"). I have no idea what else to do. We need to get these out for Christmas asap. Please help.

    Hello @AVC

Welcome to the Microsoft Q&A Community!

Thank you for contacting Microsoft Support regarding the alignment issue you are experiencing when printing envelopes using Mail Merge in Microsoft Word.

To make sure we're aligned and avoid from any misunderstanding, please let me know a few details about your issue by answering these questions:

    1. Which version of Microsoft Word are you using, such as Word 2019 or Microsoft 365?
    2. Have you configured the envelope size within Word by navigating to the Mailings tab, selecting Envelopes, and then choosing Options? Or have adjustments only been made in the printer settings?
    3. When you review the Page Setup in Word, does the page size match the dimensions of your envelope, which you indicated as 7.25 inches by 5.25 inches?
    4. How are the margins currently set in Word for the envelope layout?

Once I have this information, I can provide more tailored instructions. In the meantime, please review the following recommended steps within Microsoft Word:

Configure the Envelope Size in Word

Open Microsoft Word and navigate to the Mailings tab. Select Envelopes and then click Options. Under Envelope Options, choose the correct size or create a custom size by entering the exact dimensions of your envelope. In the Printing Options section, ensure that the feed method corresponds to the way the envelope is positioned in the printer. User's image

    Verify Page Setup

Go to the Layout tab and select Page Setup. Confirm that the page size matches the envelope dimensions. Adjust the margins to minimal values, such as one quarter of an inch, to prevent the address from shifting during printing. User's image

Adjust the Position of the Address Block

In your Mail Merge document, click inside the address block. Use the ruler or the Position settings under the Layout tab to center the address correctly on the envelope.

    Preview Before Printing

Use the Preview Results option under the Mailings tab to confirm that the address appears correctly aligned before printing. If the preview looks correct but the printed output does not, revisit the Printing Options in Word to ensure the feed method is accurate.

Moreover, check if the Side to Side in View tab to see if it's selected. It it's, check Vertical instead.

Please reply with the requested details so that I can provide precise instructions for your version of Word.

I understand that the initial steps I recommended may not have fully resolved the issue, as there could be additional factors we have not yet identified. Please rest assured that I am committed to supporting you throughout this process. I will work closely with you to troubleshoot and explore every possible solution to ensure we achieve the best outcome.
