Dear Team,

I hope you are doing well.

I would like to ask for your support regarding Outlook for Mac. I am trying to export/import Outlook data; however, when accessing the File menu, the Export and Import options are visible but greyed out and cannot be selected.

Could you please advise what might be causing this issue and how I can enable the export/import function? I am not certain whether I am using the New Outlook or the Legacy Outlook version, and I would appreciate your guidance on how to verify this.

Thank you very much for your support. I look forward to your guidance.

    Hi @ThuVo,

Welcome to Microsoft Q&A, and thank you very much for reaching out to us.

Based on your description, it appears you’re trying to import or export an OLM file using the New Outlook for Mac. As I checked, the import/export OLM feature is only available in Legacy Outlook for Mac.

To verify which version you’re using, click Outlook on the menu bar:

If you see the “Legacy Outlook” option is untick and without a toggle switch on the right side of the bar, you are using New Outlook.

The issue you are experiencing with the Export and Import options being greyed out in Outlook for Mac could be due to a few reasons:

    1. Version Compatibility: If you are using the New Outlook for Mac, it may not support the export/import functions as expected. The Legacy Outlook version typically has these options available. To verify which version you are using, you can check the Outlook menu bar. If you see an option to switch to the Legacy Outlook, then you are currently using the New Outlook.
    2. Account Type: If your Outlook is connected to an account that does not support exporting or importing data (such as certain Exchange accounts), this could also result in the options being greyed out.
    3. Application State: Sometimes, if the application is not in a stable state or if there are ongoing updates, certain features may be temporarily unavailable. Restarting Outlook or your Mac might resolve this.

To enable the export/import function, consider switching to the Legacy Outlook if you are currently using the New Outlook. You can do this by going to the Help menu and selecting Revert to Legacy Outlook if that option is available.

If the problem persists, you may want to check for updates or consult Microsoft Support for further assistance.
