I'm trying to print a PowerPoint presentation with my notes from my iMac. But it will only print the notes and no slides. When I try from my laptop it does it fine. But from the iMac it isn't doing it. What can I do?

If PowerPoint is only printing your notes and not the slides on your iMac, it could be due to a few reasons. Here are some steps you can take to troubleshoot the issue:

    1. Check Print Settings: Ensure that the print settings are correctly configured to print both slides and notes. When you go to print, select the option that allows you to print "Slides with Notes" instead of just the notes.
    2. Update PowerPoint: Make sure that your version of PowerPoint on the iMac is up to date. Sometimes, bugs in older versions can cause printing issues.
    3. Printer Driver: Check if the printer driver on your iMac is up to date. An outdated driver can sometimes lead to printing problems.
    4. Test with Another Presentation: Try printing a different presentation to see if the issue is specific to the current file or a general problem with PowerPoint on your iMac.
    5. Restart PowerPoint and iMac: Sometimes, simply restarting the application or the computer can resolve unexpected issues.

If these steps do not resolve the issue, you may want to consider reinstalling PowerPoint or checking for any specific settings related to your printer that might affect how it handles print jobs from your iMac.

    Hi Helen Fagan, PhD

Thank you for reaching out to Microsoft Q&A Forum and sharing your experience.

Since you suspect the issue might be isolated to this specific file (especially as it works on your laptop), here are the specific steps to fix a problematic file on MacOS.

1, If the slide is missing only in the printed notes, the layout for that specific file usually needs a reset.

    • Open the file and go to the View tab > select Notes Master.
    • Look at the Placeholders section in the ribbon. Ensure the box for Slide Image is checked. If it is already checked, uncheck it and then check it again.
    • Click Close Master View and try printing again.

2, If resetting the master didn't work, try moving the slides to a fresh file.

    • Create a blank PowerPoint presentation.
    • Go to Insert > New Slide > Reuse Slides.
    • Locate your problematic file and insert all slides (ensure the "Keep Source Formatting" checkbox is selected).
    • Try printing this new version.

3, Test in the web browser to confirm if the file is truly corrupt or if the issue is the app/printer.

    • Go to Office.com, log in, and open the presentation in the web browser.
    • Try to print the notes from there.

4, The "Save as PDF" Test

    • In the Print dialog, click the PDF button at the bottom and select Save as PDF.
    • Open the resulting PDF. If the slides appear correctly in the PDF, you can print the PDF as an immediate workaround.

    5, Check Print Dialog Settings

    • In the Print screen, look for the Layout dropdown.
    • Ensure Notes is selected.

6, If the "Save as PDF" test worked but physical printing fails, reset the communication between Mac and Printer.

Note: This will remove your printers, and you will need to re-add them using the (+) button.

    • Go to System Settings > Printers & Scanners.
    • Right-click (or Control-click) anywhere in the printer list and select Reset Printing System.
    • Re-add your printer and test again.

If the issue is with the current file, what should I do?
