Using New Outlook on Windows for professional communication and productivity

I understand that exporting a large number of emails - especially when they need to be delivered in PDF format for legal purposes - can feel like a lot to manage. You’ve already taken the right first step by creating a .pst file, and I’m glad to help guide you through the next steps.
Here are several options you can use to save your emails as PDFs:
1. Save individual emails as PDF in New Outlook
In the New Outlook experience for Windows, you can save one message at a time as a PDF:
- Open the email
- Select More actions (…)
- Choose Print
- Select Microsoft Print to PDF
This works well for single messages. (New Outlook does not currently include a built‑in bulk “Save all to PDF” feature.)

2. Switch temporarily to Classic Outlook for bulk PDF export
Classic Outlook supports exporting multiple emails to PDF at one time.
- In New Outlook, turn off “Try the new Outlook”
- Classic Outlook will open
- Select the emails you want to export
- Go to File > Print > Microsoft Print to PDF
This is the simplest method if you want to convert many emails quickly.
3. Open your .pst file in Classic Outlook
Since you already exported your emails to a .pst file, you can load it directly into Classic Outlook and export from there:
- Open Classic Outlook
- Go to File > Open & Export > Open Outlook Data File (.pst)
- Your emails will appear in a new folder
- Select the messages > File > Print > Microsoft Print to PDF
This works well if you want everything neatly organized before saving the PDF files.
4. Create one combined PDF (Classic Outlook only)
Classic Outlook allows you to generate a single PDF containing many emails:
- Select multiple emails
- Go to File > Print > Microsoft Print to PDF
- Choose a save location
Outlook will generate a single combined PDF, with each email included.
This is often helpful when attorneys prefer one consolidated file.
