My attorney needs all of my email communications sent to her Dropbox or uploaded to a USB drive. I've taken the emails and exported into pst file from outlook but honestly guys ... I'm struggling here!

3 party apps don't seem to be much help either. If you can help me - I will be so VERY grateful!

    Hi @John Sheffer,

    Welcome to Microsoft Q&A forum.

I understand that exporting a large number of emails - especially when they need to be delivered in PDF format for legal purposes - can feel like a lot to manage. You’ve already taken the right first step by creating a .pst file, and I’m glad to help guide you through the next steps.

Here are several options you can use to save your emails as PDFs:

    1. Save individual emails as PDF in New Outlook

In the New Outlook experience for Windows, you can save one message at a time as a PDF:

    • Open the email
    • Select More actions (…)
    • Choose Print
    • Select Microsoft Print to PDF

This works well for single messages. (New Outlook does not currently include a built‑in bulk “Save all to PDF” feature.)

Reference : Save an Outlook message as a .eml file, a PDF file, or as a draft .

    2. Switch temporarily to Classic Outlook for bulk PDF export

Classic Outlook supports exporting multiple emails to PDF at one time.

    • In New Outlook, turn off “Try the new Outlook”
    • Classic Outlook will open
    • Select the emails you want to export
    • Go to File > Print > Microsoft Print to PDF

This is the simplest method if you want to convert many emails quickly.

    3. Open your .pst file in Classic Outlook

Since you already exported your emails to a .pst file, you can load it directly into Classic Outlook and export from there:

    • Open Classic Outlook
    • Go to File > Open & Export > Open Outlook Data File (.pst)
    • Your emails will appear in a new folder
    • Select the messages > File > Print > Microsoft Print to PDF

This works well if you want everything neatly organized before saving the PDF files.

    4. Create one combined PDF (Classic Outlook only)

Classic Outlook allows you to generate a single PDF containing many emails:

    • Select multiple emails
    • Go to File > Print > Microsoft Print to PDF
    • Choose a save location

Outlook will generate a single combined PDF, with each email included.

This is often helpful when attorneys prefer one consolidated file.

To export your emails from Outlook to PDF, you can follow these steps:

    1. Export Emails to PST: It seems you've already exported your emails to a PST file. This is a good first step.
    2. Open PST in Outlook: Open the PST file in Outlook to access your emails. You can do this by going to File > Open & Export > Open Outlook Data File and selecting your PST file.
    3. Convert Emails to PDF: Unfortunately, Outlook does not have a built-in feature to export emails directly to PDF. However, you can use the following methods:
      • Print to PDF: Open each email you want to convert, click on File > Print, and select Microsoft Print to PDF as the printer. This will allow you to save the email as a PDF file.
      • Use a Third-Party Tool: While you mentioned struggling with third-party apps, there are specific tools designed to convert PST files to PDF. You might want to explore options like "PST to PDF Converter" tools available online, which can batch convert emails from PST to PDF format.
    4. Upload to Dropbox or USB: Once you have your emails saved as PDF files, you can upload them to Dropbox or copy them to a USB drive as needed.

If you continue to encounter issues with third-party applications, consider checking for user reviews or recommendations for reliable software that specializes in email conversion.
