How to add a meeting series calendar item to a word document

I have a welcome letter to a group of people, and want to link to a calendar event for a meeting series, so it's easy for people to add to their calendar.

    Here are two reliable methods you can try without using any AI features:

    Option A: Downloadable .ics file (“Add to calendar”)

    You can create a single .ics file that captures the entire meeting series. Recipients simply double‑click the file and choose Import / Save & Close in their calendar app.

    Note: This option does not update automatically if you later revise the meeting dates.

    For your reference: Import or subscribe to a calendar in Outlook.com or Outlook on the web.

    Option B: Auto‑updating subscription link (iCal URL)

    This method lets you publish a calendar (or a separate calendar dedicated to this series) and share its ICS subscription link. When recipients subscribe using the link, changes you make to the series will sync automatically.

    Note: Updates may take several hours to propagate depending on the recipient’s calendar provider.

    If you just want one‑click add and don’t expect changes, choose Option A. If you want the series to update for everyone automatically, choose Option B.

     

    Step 1: Create the calendar item for the series

    • In Outlook (Windows/desktop), create your meeting, set Recurrence, include the location/Teams link, and save it.

    If you want Option A (single .ics file)

    For Classic Outlook for Windows (Win32)

    • Open the meeting series (double‑click > The entire series).
    • Go to File > Save As.
    • Set Save as type to iCalendar Format (*.ics).
    • Save the file, this produces one .ics file containing the full recurrence.

    If you're using New Outlook for Windows: The current version does not provide a Save as .ics option for a single appointment or series. If you are using the new Outlook, switch to Classic Outlook to generate the .ics file, or use Option B.

    If you want Option B (auto‑updating iCal link)

    Use Outlook on the web to publish a calendar that contains only this series:

    • In Outlook on the web, open Settings (gear) > Calendar > Shared calendars.
    • Under Publish a calendar, choose the calendar containing the series.
    • Select Can view all details > Publish.
    • Copy the ICS link and share it with your recipients.

    Step 2: Insert the calendar item into Word (no AI required)

    A) Embed the .ics file as a clickable icon

    • In Word, go to Insert > Object > Create from File.
    • Browse to your .ics file.
    • (Optional) Select Display as icon and choose a calendar-style icon.
    • Click OK. Recipients can double‑click the icon to add the event series.

    Note: Some organizations block embedded objects. If your audience is wide or external, a hyperlink may be more dependable.

    B) Add a hyperlink to the .ics file or subscription URL

    For Option A (.ics file): Upload the .ics file to OneDrive or SharePoint, copy the share link, and in Word press Ctrl+K to add it as a hyperlink (e.g., “Add this series to your calendar”).

    Note: OneDrive/SharePoint links may open a download page before saving - that is expected.

    For Option B (auto‑updating iCal link): Paste the ICS subscription URL directly into your Word document. Recipients can use it in their calendar app under Add calendar from internet / Subscribe from web.

    For your reference: Import or subscribe to a calendar in Outlook.com or Outlook on the web.

    Once you’ve added the meeting series to your group’s calendar, you can include a link in your welcome letter that lets recipients open the event directly and add it to their own calendars.

    There are two reliable ways to do this:

    Option A: Insert a direct link to the meeting in Outlook on the web (opens the event page)

    This provides the most seamless experience - users click the link, the meeting opens in their browser, and they can immediately choose Add to calendar or Save.

    To get the direct event link:

    • Open the meeting series in Outlook on the web.
    • Click the meeting to open the event details pane.
    • Select Copy link (this may appear as a chain‑link icon or a “Share” button).
    • Paste that link into your Word document as a hyperlink.

    Users will experience:

    • The exact meeting series opens in their browser.
    • They can add it to their calendar with one click.
    • The link always reflects updates you make later, because it points to the live event.

    Option B: Insert the published ICS subscription link (auto‑updating)

    If you’re using a published calendar (Option B), you can place the calendar’s ICS subscription URL directly in the welcome letter:

    • When someone clicks the link, Outlook or their calendar app prompts them to Subscribe.
    • After subscribing once, all future changes to the series sync automatically.

    To get the ICS subscription link:

    • In Outlook on the web, open Settings (gear).
    • Go to Calendar > Shared calendars.
    • Under Publish a calendar, select your group’s calendar.
    • Click Publish.
    • Copy the ICS link.
    • Add it to your Word document using Insert > Link, or hyperlink text such as “Click here to subscribe to the meeting series.”

     

    To insert the link in Word:

    • Highlight the text you want to make clickable (for example, “Add this meeting series to your calendar”).
    • Press Ctrl + K or go to Insert > Link.
    • Paste either the direct meeting link or the ICS subscription link.
    • Click OK.

    If you anticipate that the meetings may be updated or occasionally cancelled, adding the events to your group’s separate, empty calendar and sharing it using an iCal subscription link (Option B) is a very good approach. This gives you one central calendar to manage. Any change you make - whether it’s an update or a cancellation - will automatically sync for anyone who has subscribed (typically within a few hours, depending on their calendar service).

    You can set up “Series A” and “Series B” as two separate calendars (or as two separate group calendars) and publish an individual ICS subscription link for each one.

    In your welcome letter, you can then include two distinct links or buttons such as:

    • Subscribe to Series A
    • Subscribe to Series B

    This ensures each person subscribes only to the meeting series that applies to them and helps prevent confusion.

    Alternatively, you can keep everything on a single calendar, but make sure each meeting series is clearly labeled - for example, [Series A]… and [Series B]…. Subscribers will see both sets of meetings, but the labels make it easy to distinguish between them.

     

    Here are quick “how to subscribe” instructions (optional to include in your letter):

    • Outlook on the web: Calendar > Add calendar > Subscribe from web > paste ICS link > name it > Import
    • New Outlook for Windows / New Outlook for Mac: Calendar > Add calendar > Subscribe from web > paste ICS link
    • Classic Outlook for Windows: File > Account Settings > Account Settings > Internet Calendars > New… > paste ICS link
    • Google Calendar / Apple Calendar: Use Add calendar from URL or Subscribe to calendar, then paste the ICS link
    • Mobile devices: It’s generally best to subscribe using the web or desktop version first, as mobile apps vary in how they display subscribed internet calendars.
