Loss of Meeting Transcript After Editing Recurring Series

Hello Microsoft Support,

I’m reporting an issue I experienced with a recurring meeting in Microsoft Teams/Outlook.

I had a meeting where transcription and recording were successfully running and confirmed during the call. However, after I modified the entire recurring meeting series (changing the series time), the transcript for that past meeting disappeared. The meeting still shows that transcription was enabled, but the transcript no longer loads or appears in the Recap/meeting details.

This occurred only after adjusting the recurrence settings, and now the transcript for that completed meeting cannot be accessed.

Could you please assist in determining whether the transcript can be recovered, or provide guidance on how to prevent this data loss in the future?

Thank you,

Dear @Steve Tuekam,
Thank you for posting your question in the Microsoft Q&A forum.

I understand that you had a recurring Teams meeting with transcription successfully enabled, but after modifying the entire series (e.g., changing the meeting time), the transcript for a past occurrence is no longer visible in the Recap or meeting details.

To better assistance, could you please confirm the following:

Was the meeting recorded, and is the recording still accessible in the organizer’s OneDrive or Stream?

Have you checked the organizer’s OneDrive “Recordings” folder for a transcript or caption file?

Do you have access to Microsoft Purview or an IT admin who can assist with an eDiscovery search for the transcript file?

In the meantime, I recommend the following steps:

  • Open the organizer’s OneDrive and navigate to the “Recordings” folder. Look for a file from the date of the meeting in question. If a recording exists, open it in Stream and check if the transcript is available there.
  • If the transcript is not visible in Teams but the recording is available, you may be able to download the transcript directly from Stream or re-transcribe the recording using Microsoft Stream or another transcription tool.
  • If the transcript file is not found in OneDrive or SharePoint, your IT admin may be able to assist with a content search in Microsoft Purview to locate the file.

To prevent this issue in the future, I recommend avoiding edits to the entire recurring series once meetings have already occurred. Instead, consider updating only future occurrences or creating a new series for schedule changes. Additionally, downloading transcripts immediately after each meeting can help preserve access.

Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

I truly appreciate your patience and understanding. If you have any further questions or need further clarification, please feel free to reach out. I'm looking forward to hearing from you.

Thank you for your cooperation.

Issue was resolved by going into my OneDrive using a web browser and accessing the vtt file/video streamer app to download the transcript. This only worked because I was the meeting organizer.

Transcript and recording availability in Microsoft Teams is controlled by meeting policies, organizer settings, and where the files are stored (OneDrive/SharePoint or compliance storage). The provided information explains why a transcript might not be available, but does not describe any behavior where editing a recurring series retroactively deletes or detaches an existing transcript, nor does it provide a supported recovery method for a transcript that no longer appears in Recap after such a change.

    From the available guidance:

    • If a transcript is not accessible, typical causes are:
      • Org/meeting policy changes that disable transcription for the organizer or meeting type.
      • Meeting options such as Who can record and transcribe or Who has access to the recording or transcript being restricted so that only the organizer/co-organizers or specific people can see or start transcription.
      • Copilot being turned off for the meeting, which can also affect transcription availability.
    • Recordings and transcripts are stored in the organizer’s OneDrive or SharePoint (or in a third-party compliance store if a compliance recording policy is used). Access is then controlled by file permissions.

However, there is no documented mechanism in the provided material to:

    • Restore a transcript that has disappeared from Recap specifically due to editing a recurring series, or
    • Re-link a transcript to a past occurrence after recurrence settings are changed.

Given the constraints of the available documentation, the only supported, documented actions are:

    1. Verify that meeting and org policies still allow transcription for the organizer and attendees, as described in the “I can’t transcribe a meeting in Microsoft Teams” guidance.
    2. Verify that the organizer still has access to recordings and transcripts in OneDrive/SharePoint or in the organization’s compliance/eDiscovery tools, as described in the recording/transcription overview and compliance sections.
    3. Use eDiscovery in Microsoft Purview to search for transcript files if they exist but are not visible through the Teams UI.

Preventive guidance based on the available material:

    • Ensure that meeting transcription is allowed in Teams meeting policies and not disabled for the organizer.
    • Ensure that Who can record and transcribe and Who has access to the recording or transcript are configured so that the organizer (and any required attendees) retain access to recordings and transcripts.
    • If compliance recording is in use, be aware that recordings and transcripts are stored in the organization’s compliance storage and should be discoverable via eDiscovery even if the Teams UI does not show them.

The documentation provided does not contain a specific recovery procedure for the scenario where a transcript disappears after editing a recurring series, so no additional, reliable recovery steps can be given beyond checking storage locations and policies as above.
