Using New Outlook on Windows for personal email, calendar, and contact management
Hi Farah, Welina R,
Thank you for reaching out to Microsoft Q&A forum.
When an email opens in a separate window but the window is too large, it can be inconvenient for reading or composing messages. You can try the steps below in this recommended order:
If you are using Classic Outlook for Windows
- Double‑click an email to open it in a separate window.
- If the window is maximized, click Restore Down (the middle button next to X).
- Drag the window borders to resize it to your preferred size.
- Hold Ctrl and click X to close the email window.
- The “Ctrl + close (X)” method often helps Outlook save the window size and position for future pop‑out email windows (especially in Classic Outlook).
With New Outlook, saving the size or maximized state of pop‑out windows is not currently supported in the same way as in Classic Outlook, so you may need to resize the window repeatedly or consider switching to Classic Outlook if your environment allows.
If you use multiple monitors / a docking station (the window size changes after opening)
- On Windows 11, you can enable a setting that remembers window locations based on your monitor connection:
- Go to Settings > System > Display > Multiple displays
- Enable “Remember window locations based on monitor connection”
- This can help Windows retain window size/position more reliably when docking/undocking or switching monitors.
Please feel free to let me know if you have any further updates, thanks.
