How do I add a checkbox to each entry in a Word Table of Contents

My document is a detailed list of procedures. When I create a table of contents, I would like a small checkbox to appear before each header (specifically Wingdings 168) I do not want to add the box to the headers in the document itself. I can add them manually, but is there any way to set up a style to do it automatically?

You can create checkboxes in front of each TOC line by editing the TOC 1, TOC 2, TOC 3, etc. styles.

    1. Open the Styles Pane {Alt + Ctrl + Shift + s)
    2. If the TOC styles are not already showing in the Styles Pane, click on the Options button and change the Select styles to show dropdown to In use or All styles, then click on OK.
    3. Right-click on TOC 1 and choose Modify.
    4. In the Modify Styles dialog, click on Format and choose Numbering.
    5. In the Numbering and Bullets dialog, select the Bullets tab.
    6. Click on Define New Bullet.
    7. In the Define New Bullet dialog, click on Symbol.
    8. In the Symbol dialog, change the Font dropdown to Wingdings, then select the checkbox symbol.
    9. OK out.
    10. Repeat steps 3 to 5 for the other TOC styles you are using. The checkbox bullet will already be defined, so you can just select it from the Numbering and Bullets dialog.

    Hi @Sheryl,

Thank you for your detailed question.

You just proposed a great use case, but it does run into a limitation of how Word builds a Table of Contents.

There is no built-in way to automatically prepend a checkbox symbol (e.g., Wingdings 168) to each TOC entry using styles alone, without affecting the original headings in the document.

    • A Word Table of Contents is generated from heading text or fields, not independently formatted content.
    • The formatting you can control is limited to TOC styles (TOC 1, TOC 2, etc.), which primarily affect font, spacing, and layout, not adding prefix characters per entry.

Because of this, Word does not support adding a symbol “before each entry” as a dynamic rule.

However, you may consider the suggestion provided by Volunteer Moderator John Korchok as an alternative workaround

Additionally, I believe you just propose a great use case, and it could be greatly impacting and evaluating to your workflow, I highly recommend submitting a suggestion directly from Word by navigating to: Word · Community. This is the most effective way to ensure your voice reaches the product team and can be considered for future improvements.

Word does not support adding a checkbox symbol automatically to each entry in a generated Table of Contents via TOC or paragraph styles alone. The TOC field pulls text (and formatting) from the source headings; because the checkbox is not in the heading text itself, it cannot be injected automatically into the TOC entries by standard TOC options.

To get checkboxes in front of TOC entries, there are only manual or semi‑manual approaches:

    1. Insert a static checkbox symbol in front of TOC entries after the TOC is generated:
      • Place the cursor before a TOC entry.
      • Insert a check mark or box symbol (for example, from Wingdings) using Insert > Symbol > More Symbols and choosing the desired character (see the check mark instructions in the reference article).
      • Copy/paste that symbol in front of each TOC entry as needed.
      • Note: These are static symbols; they will be removed or duplicated if the TOC is rebuilt, so they must be re‑applied after updating the TOC.
    2. Put the checkbox into the heading text itself (not what is desired in this scenario):
      • If the checkbox symbol is part of the heading paragraph in the body (for example, via a custom bullet or symbol), the TOC can include it automatically because it reproduces the heading text. However, this also shows the checkbox in the document headings, which the question explicitly wants to avoid.
    3. Use an interactive checklist instead of a TOC if the goal is to track completion rather than provide a traditional TOC:
      • For web scenarios, Word for the web supports an interactive checklist via Home > Paragraph > Checklist or the Ctrl + , shortcut, but this is not tied to TOC generation and would need to be built as a separate list of procedures rather than a TOC.

Because the TOC mechanism cannot be configured to prepend a Wingdings checkbox only in the TOC while leaving the headings unchanged, there is no built‑in way to do this fully automatically. Any solution will require either modifying the headings themselves or manually/semi‑manually editing the TOC entries after generation.
