Recall unread email

I sent a group email out and forgot to delete one person that was in the contact list. I don't want them seeing the email since it's about helping them. They are out until Monday. Is there a way I can recall the email as long as it's unread? I don't have the "recall" option in "resend/recall."

    Hi @Bea Jaye Hammack

Thank you for sharing your concerns.

I understand that you are considering to recall an email that was sent to recipients outside your organization ,who are included in your contact list.

Unfortunately, recalling the email is not possible, even if it has not yet been opened. According to Microsoft’s guidelines, the email recall feature is only available when both the sender and recipient belong to the same Microsoft Exchange organization.

Since the Recall option is not visible, this suggests that one or more of the required conditions have not been met.

Currently, you could consider the following AI‑recommended actions:

    Send a Follow-Up Email

Apologize or clarify any incorrect information.

Politely ask the recipient to disregard the previous message.

Use Email Delay in the Future.

Set a delay rule in Outlook to hold emails for a few minutes before sending.

This gives you time to catch mistakes.

    To set it:

Go to File > Manage Rules & Alerts

Create a new rule: “Apply rule on messages I send”

Add action: “defer delivery by a number of minutes”

    I hope this helps.

If you have any additional concerns, feel free to comment below. I would be more than happy to assist.

In classic Outlook, message recall only works when specific requirements are met. If those requirements are not satisfied, the Recall option will not appear, and there is no supported way to recall that message, even if it is still unread.

    For recall to be available:

    • The mailbox must be a Microsoft Exchange or Microsoft 365 account (not MAPI or POP).
    • Both sender and recipient must have Microsoft 365 work or school accounts in the same organization.
    • The message cannot be protected by Azure Information Protection.
    • Recall is not available in Outlook on the web.

When these conditions are met, recall in classic Outlook works as follows:

    1. Open Sent Items in the folder pane.
    2. Double-click the message to open it in a separate window (recall does not work from the Reading Pane).
    3. On the Message tab:
      • With the Classic Ribbon: select Actions > Recall This Message.
      • With the Simplified Ribbon: select More commands (…) > Actions > Recall This Message.
    4. Choose one of:
      • Delete unread copies of this message; or
      • Delete unread copies and replace with a new message.
    5. Select OK, then if replacing, edit the new message and send it.

If Recall This Message does not appear under Message > Actions or under File > Info > Resend or Recall, this indicates that recall is not available for that account or organization configuration. In that situation, the email sent to the group (including the one person who should have been removed) cannot be technically recalled. The only remaining option is to send a follow-up message (either to the whole group or directly to that person) to clarify or adjust what was sent.
