Need instructions to create a breakout room in a Teams meeting (before the meeting starts)

2026-05-13T18:23:08.3166667+00:00

Details from 2022 indicate there is a "Breakout room" in the M/S Outlook ribbon. It doesn't appear to be available any longer. "Tell me what you want to do" yields no results when entering "breakout room" or other similar queries.

Hi @Gagnon, Karen M (Treasury + Investor Relations),

Welcome to the Microsoft Q&A forum.

I would like to provide you with the following information:

To create breakout rooms before a Teams meeting via Outlook, you need to create an event and send the invitation first. After sending the invitation to the attendees, you can then set up the breakout rooms.

You may refer to the documentation below:

    Here are the results:

After you click on breakout rooms, the application will prompt you to open the Teams desktop app to set up the breakout rooms.

I hope this information is helpful

To create breakout rooms for a Teams meeting before it starts, use the Teams client rather than Outlook.

    1. In Teams, select Calendar.
    2. Select the meeting where breakout rooms are needed.
    3. Select View event.
    4. Select More options > Breakout rooms.
      • This option appears only after meeting invites have been sent to attendees.
    5. Select Create rooms.
    6. Choose how many rooms to create (up to 50), then select Add rooms.
    7. Select Assign participants.
    8. Choose whether to assign participants automatically or manually, then select Next > Save.

Once the meeting starts, the rooms can be opened from the meeting controls.
