How can I save a Microsoft Forms presentation of the results?

I created a survey in Microsoft Forms and used the built-in “Present” feature to generate a visual presentation of the survey results. However, I cannot find any option to export or download the presentation as a PDF.

A few details:

  • The presentation opens directly in Microsoft Forms, not PowerPoint.
  • There is no File, Export, or “Open in PowerPoint” option visible.
  • I am using a Chromebook/browser environment.
  • I already tried browser Print → Save as PDF, but that does not work, other than printing the viewable slide very small.

Is there a way to export a Forms “Present” presentation to PDF or open it in PowerPoint? Any recommended workaround would be appreciated.

Hi @Jennifer Marshall

I hope you’re having a great day.

Thank you for reaching out and for sharing the details. I really appreciate the clear explanation of what you’ve tried so far.

At the moment, Microsoft Forms’ “Present” view is designed as an in-browser presentation experience inside Forms, and it does not currently provide a built-in option to export/download the Present deck as a PDF or open it directly in PowerPoint. That’s why you don’t see File / Export / Open in PowerPoint in that view.

Also, printing from the browser can result in a very small slide because the Present viewer isn’t optimized for print/PDF layout, it behaves more like a dynamic on-screen viewer than a printable document.

In the meantime, here are a few workarounds you might consider:

1/ Export to Excel > Build a report/slide deck > Export to PDF

This is the most reliable approach because Forms supports exporting response data to Excel, and then you can create charts/slides in Excel or PowerPoint (web or desktop) and export cleanly to PDF.

  1. Open your form in Microsoft Forms > go to Responses
  2. Select Open in Excel (downloads an Excel workbook)
  3. User's image
  4. Use Excel (web/desktop) or PowerPoint/Slides to recreate the charts/summary as slides
  5. Export to PDF from that app (this typically preserves sizing/layout much better than printing the Present view).

More info here:

2/ Screenshot each Present slide > Insert into Slides/PowerPoint > Export to PDF

If your priority is to keep the exact look and sequence of the Present slides, the most practical method is capturing the slides as images and then placing them into a slide deck for PDF export. This is commonly suggested since there’s no direct export from Present today.

Microsoft Forms does not provide a way to export the “Present” view of results directly to PDF or to open it in PowerPoint.

What is supported is exporting the results data to Excel and then creating and exporting a presentation or report from there:

    1. In Microsoft Forms, open the form and go to the Responses tab.
    2. Select Open in Excel. This downloads an Excel workbook with all responses.
    3. Use Excel (and optionally PowerPoint) to build charts or summary slides based on the data.
    4. From Excel or PowerPoint, save or convert the file to PDF. For example, use the standard Office PDF export as described in save or convert to PDF or XPS in Office Desktop apps.

On a Chromebook/browser, the workflow is:

    • Export to Excel from Forms.
    • Open the Excel file in a compatible environment (such as Excel on the web or desktop, depending on availability) to create visuals.
    • Use that app’s PDF export or the browser’s Print → Save as PDF on the generated report or slides.

The Forms “Present” view itself currently has no documented export-to-PDF or open-in-PowerPoint capability, so using the Excel export is the supported workaround.
