The differences in search results between Outlook (desktop) and Outlook on the web (OWA) can stem from several factors.
1.Indexing Differences:
Outlook Desktop: Uses a local index (Windows Search or Outlook’s built-in index). If indexing is incomplete or corrupted, older/newer emails may not appear.
OWA: Relies on the server-side index (Microsoft 365/Exchange), which is typically up to date but might prioritize recent items.
2.Cached vs. Online Mode:
In Cached Mode, Outlook stores a subset of emails locally. Older emails not downloaded may not show up in searches. Try switching to Online Mode (go to File > Account Settings > Account Name > Change > Uncheck "Cached Mode"
) to access the full server mailbox.
3.Sync Issues:
Ensure Outlook is fully synced. Check the status bar for sync completion. Missing emails in Outlook but present in OWA could indicate sync delays or a paused connection.
4.Search Scope:
Verify the search is scoped to "All Mailboxes" or "Current Folder" in both clients. OWA defaults to "All Folders," while Outlook might limit to a selected folder.
5.OST File Limitations:
Outlook’s local cache (OST file) has size limits. Older emails may be archived or excluded from offline storage. Adjust cached settings via File > Account Settings > Account Name > Change > Slider for "Mail to keep offline"
