MS Teams Shared type channel issue - unable to share folders and files with external users

Hello everyone,

I'm facing an issue related to Microsoft Teams Shared Channels. My consulting company frequently shares folders with external users, as we collaborate with numerous clients. However, I've encountered a problem: after creating a Shared Channel in Teams, I found that I'm unable to share the channel itself. This seems paradoxical to me, and I can't believe there's no solution. I hope you can help with this.

Please let me know if there's a solution and the cost associated with resolving this issue.

Kind regards,

Ivan

    Dear Connery,

Thank you for your prompt response.

I am aware of this method; however, it is not a suitable solution for my specific problem. I just want to utilize the simple folder sharing available just like in regular channels. This is very complicated especially having in mind the admin of the other organization has to be involved because of the simple folder sharing. I could understand the need for it when it comes to full collaboration through a channel, but to that, for just a simple sharing of one of the many folders; it simply is not worth any effort.

I was hoping there is a more elegant solution for this.

I really hope Microsoft will make this easier in the future. It doesn't make sense for it to be so complicated to share a single file or folder. It's been available for ages in SharePoint/Teams, so it doesn't have to be as complicated only in Shared channels.

    Best regards,

    Ivan

Is there a way to share the entirety of a "shared" channel with any *internal* user, without having to name them individually or as members of some other separate Team?

I want to share contents of a shared channel the way I do a standard channel, as a simple link, that can then be opened by anyone in my own organization (which can also be forwarded to others or posted in other places than anyone in the organization can access, without having to come back and manage that access one by one.

The more I dig into the details of how Shared Channels work, the more I am steered away from using them. They essentially become private channels within my own organization, except they have the ability to invite external collaborators.

    Dear Ivan Veselinovic,

    Greetings!

Thanks for reaching out to this community.

Based on your description, I understand your issue regarding "MS Teams Shared type channel issue - unable to share folders and files with external users

    ".

If you want to enable your users to collaborate with people in other Microsoft 365 organizations in shared channels, you need to configure B2B direct connect for each organization that you want to collaborate with. (Alternatively, you can Enable shared channels with all external organizations.)

Please make sure you follow the instructions in Collaborate with external participants in a shared channel (IT Admins) | Microsoft Learn.

Note that the organizations that you want to connect to must also follow the steps in this article to enable external shared channels for their organization.

The shared channel owner can click Manage channel, and then use the Members and Settings tabs to add or remove members and edit settings. As for sharing folders and files, each shared channel has its own SharePoint site. The separate site is to ensure access to shared channel files is restricted to only members of the shared channel

Since you mentioned this seems paradoxical to you, you can save time by starting your service request online to our online support as an administratorthrough the Microsoft 365 admin center. Please believe that support agents with more privileges and resources than us can best assist you. Please check: Get support - Microsoft 365 admin | Microsoft Learn.

Thank you in advance for your understanding! Your patience and cooperation will be greatly appreciated. I hope all the best!
