Hello everyone! I have a problem and request help. We have internal messages that need to be sent to members. Can we set it so that users are not allowed to forward or download them. I have set encryption, but it cannot be restricted. I want to know if it is possible to resist this phenomenon? If not, what is the best advice?

Do you have a Microsoft 365 subscription?

If yes, you should be able to select the "Do not forward" option in Encrypt, which uses Microsoft Purview Message Encryption to restrict the message from being forwarded.

Thank you. Not forwarding cannot fundamentally solve the problem. If there are attachments, even if you choose not to forward them, the recipient can still download them, which is not a good choice for encryption.

Also, I have another question. What does encrypted email mean? The received email only has an encryption symbol on the inbox. Can you set a corresponding one-time code to encrypt the email? I also asked this question again.

If there are attachments, even if you choose not to forward them, the recipient can still download them, which is not a good choice for encryption.

To my knowledge it may not be possible with built-in features in Outlook.

If it is possible to store the attachment file in Sharepoint/Onedrive, you can control it via modifying the permissions on the file.
