Synchronize calendars through mulitple organizations

Dear everyone,

Currently I have 4 calendars that I actively use (private 1, work 1, work 2 and work 3).

I now run into two things:

  1. How can I make sure that everyone from work 2 who wants to shoot an appointment in my agenda sees the notification busy / private for all time blocks that have already been scheduled at work 1 & 3 and private 1 address? (How do I sync these with each other?)
  2. I cannot link my work 3 email address to Outlook due to the security settings of the organization in question. Now I thought; I share my calendar from the web version. Unfortunately this has also been blocked by the organization, I cannot share my calendar with someone outside the organization (my other mail).

Does anyone might know something about this so that I can merge the calendar appointments with my other calendars? For example share the other 3 calendars as private with my work 3 mail and people will see busy?

Thanks in advance for thinking along!

Sincerely, Vincent

    Hi @Vincent ,
    Welcome to our forum.

Does anyone might know something about this so that I can merge the calendar appointments with my other calendars?

As I know, in the point of Outlook client, we could merge other calendars to a calendar via export a .pst file from a calendar and import it to another calendar like below:

    • Export a .pst file from calendar A: File>Open&Export>Import/Export>Export to a file>Outlook Data File(.pst)>choose the calendar you need to export
    • Import your file to calendar B: File>Open&Export>Import/Export>Import from another program or file>Outlook Data File(.pst)>Browse your calendar data file>choose Do not import duplicates

So that we have merged the items in calendar A to calendar B, and based on my tests, other users in your organization could see the busy status of these importing items, which seems to could meet your need.

However, it's obvious that this method couldn't achieve a real-time synchronization, it could only merge your original items from a calendar to another. If you indeed would like to sync all your calendars, there seems to be no option to satisfy it directly in Outlook, and you may need the help of other macros or third-party synchronization tools to achieve it.

    Hello Jade-Liang-MSFT,

Thank you for your answer. It will definitely help me. You are also talking about macros and third-party syncing tools. Have you experience with some? I am thinking about playing around a bit with Microflows. Maybe that will do the trick.
