Copy/Paste formatting

Weeks ago when I would copy and paste from an email someone sent me (in outlook) to a new email (in outlook) to send to another coworker, the formatting is huge, each time I have to select all and change to normal formatting. This is a pain...anyway to keep this from happening and not have to change the formatting each time?

    Hello Kathy Jones3,

Thank you for posting this case in Microsoft Community!

Based on your description: Copy/Paste formatting. I would like to cooperate with you working on this case. To clarify this case, are you using Outlook on the web? Currently, there are three available Paste options in Outlook on the web as below:

    • Paste as is (p)
    • Paste text and merge format (m)
    • Paste text (t)

For my suggestion, you may try to select Paste text and merge format (m) options after pasted content in Outlook on the web. If not working, it is also recommended that you can use Outlook for Windows to perform this action as Keep Source Formatting (K) options is available in Paste Options list.

We do understand your concern about this feature and how it helps you to improve your efficiency in such a daily busy work schedule but as it is related to Outlook product design, it is strongly recommended to submit your valuable feedback directly to the Microsoft product development team by either go to Help from your dedicated App > submit Feedback or by posting on Outlook · Community (microsoft.com) for feature requests.

I am using 365 on the web. When I right click to paste I only have one option to paste. I have tried ctrl+V and ctrl+shift+V (my only other options) and those do not work either.

    Hello Kathy Jones3,

Thank for your reply and sharing more useful information!

For my suggestion, you may check if your message format using HTML when editing in new email in Outlook on the web.

Please also try to clear up the browser cache, cookies or reset browser to check again. If still not showing three Paste options after pasted content, please also try with different browsers such as Microsoft Edge, Google Chrome, Firefox and so on.

By the way, you may also try with Outlook for Windows after installed if possible as Keep Source Formatting (K) options is available in Paste Options list.

Download and install or reinstall Microsoft 365 or Office 2021 on a PC or Mac

Again, your understanding and patience will be appreciated.

    Thank you!

    Hello Kathy Jones3,

Good day! Hope you are doing well!

I would like to share the workaround with you on this case as further investigation from backend side. When copying and pasting the HTML format in the content of the message in Outlook on the web, which loses the original format, I inform you that it is not a error and is expected behavior after the introduction of the type of functionality: "Paste text and mergeformat" which is the default option.

In order for the pasted text to maintain its original format, you must use the icon that appears at the bottom left, once the text has been pasted and can be seen in the report you have sent us and select the “Paste as is” option.

You may try above suggestions and let me know if fixed your case finally. See more information, you may also check this article as reported similar case:

Paste rich text (headings, code snippets) in Outlook online (web version)

Again, your understanding and patience will be appreciated.

    Thank you!
