Messages to recipients outside your organization or on-premises can't be recalled

Good day,

I'm facing this massage every time I try to recall mail sent to recipient outside ( Messages to recipients outside your organization or on-premises can't be recalled )

I Know once the mail is opened it can not be recalled but even if I recalled after 3 seconds from sending it fails , and some I'm sure have no rules to move the mails automatically to other folders

What options should I change in the setting to fix the issue?

    I am truly sorry for the inconvenience this issue has caused you. Based on the description, I understand that you receive error message: "Messages to recipients outside your organization or on-premises can't be recalled" every time when you try to recall an email message sent to external recipients.

    After doing some research and tests, I regret to inform you that it is not feasible to recall a sent email where the recipients are outside of your organization. Currently, the recall message function only works on internal recipients. This is because the email is already delivered to the recipient's mail server, which is outside your organization's control. Please refer to Recall or replace a sent email in Outlook - Microsoft Support for details.

    We do understand your concern about this feature that how it helps you to improve your efficiency in such daily busy work schedule but as it is related with Outlook product design, so it is strongly recommended to submit your valuable feedback directly to Microsoft product development team by either go to Help from your dedicated App > submit Feedback or by posting on Ideas · Community (microsoft.com) for feature requests.

    With this being said, here are an alternative approach to mitigate the issue:

    • Delay delivery: You can configure a delay (e.g., 1–2 minutes) for all outgoing emails. This gives you a buffer period to cancel the email before it is sent.)
      • Go to File > Manage Rules & Alerts.
      • Click New Rule and select Apply rule on messages I send.
      • Set a condition (or leave it blank to apply to all emails).
      • Choose the action Defer delivery by a number of minutes.
      • Set the delay (e.g., 2 minutes) and save the rule.
