Room Finder - New Outlook

Hello,

I have an issue where a customer of mine is trying to set up meetings with a specific room. For some reason I cannot understand the room finder works just fine on the classic version of outlook, everything is setup perfectly, but when the switch is made to the new outlook there are no rooms to show on the room finder option.
Looks like there was never a setup of any buildings or rooms, but everything is there, and even if a new room is created they don't show on the room finder.
Is there anything here I'm missing with the new outlook? Do I need to perform any kind of command in order to make the rooms available and visible to the new Outlook?
For my understanding if there was any issue with the room finder it wouldn't work on the classic as well.

Hopefully someone that faced the same issue in the past can help me figure this out. Thanks!

    Hello Hermes Representations,

Hope you are doing well. Really appreciate your quick reply.

First of all, I apologies for misunderstanding and also for the misinformation. Seems this can be done with the latest update, and this feature availability is not documented yet for users. So, for now I will make a summary of your instruction/suggestion for other users are facing the same will find your suggestion easily.

SUGGESTION: I switch to the new outlook the room finder features actually works, that's where I get very confused, because you as many other places say that it won't work, but I can actually see all the rooms from my company using the new outlook.

As you can see by the picture attached (with the new outlook activated) i can find the building, filter by country and see all the rooms.

I also encourage you to vote this post so that other users who may be facing a similar issue can easily find a reply. Your support can make a big difference and help many other people in our community.

Thank you for being a valued member of the Microsoft Community.

    Sincerely,

    Nafis Iqbal Shuvo

    Hello Hermes Representations,

Good day! Thank you for publishing in Microsoft Community. We are happy to assist you!

Based on the description and information you provided, I have consulted with other senior team members and did research, after that it appears that the room finder in new Outlook is currently not available, which has been a point of frustration for many users. While it may not be available just yet, we're hopeful that it will be included in an upcoming update very soon.

To ensure that this issue is permanently corrected in a future update, I highly recommend submitting feedback to the Microsoft product development team. By doing so, they can address this feature in their upcoming updates.

Please understand, this community team and the Microsoft product development team are separate. Therefore, for features suggestions or design queries, users need to submit feedback to the Microsoft product design team from their side. Once a user sends feedback through the above means, it will send directly to Microsoft and routed to the relevant product team so that can review it to do specific development in product services.

Therefore, Microsoft recommend submitting feedback by going in Ideas · Community (microsoft.com) To see more details on how to submit feedback, see this article Learn how to provide feedback to Microsoft - Microsoft 365 adminsMicrosoft Learning.

Thank you for bringing this to my attention. If there is anything else you need assistance with or if you have any further questions, please do not hesitate to reach out. Have a nice day!

    Sincerely,

    Nafis Iqbal Shuvo

    Hello Nafis,

Really appreciate taking the time to answer my question.

This is something happening to all users that change from the classic outlook to new outlook.
I'm not sure if there's something that need to be done on the new outlook in order to make the rooms visible or activate it on the new outlook. This is why i find very strange having everything perfectly working on the classic outlook but as soon as i change to the new outlook there are no more rooms visible.

Hopefully this can help you investigate a little further.

    Best regards,
    Guilherme

    Hello Hermes Representations,

Good day! Thank you for posting to the Microsoft community. We will be happy to assist you.

I read your thread and got some background information from your scenario. To better understand and investigate your issue, could you please confirm how many users are facing this issue? If many users, kindly let me know so that I can do more research and if one user is facing this, kindly follow the mentioned below steps.

As per my general understanding, this issue may occur if the user doesn't select a room list. A room list must be selected before available rooms are displayed in the Room Finder. This issue may also occur if the conference room is hidden from the Global Address List (GAL).

To display available rooms, select a room list from the Show a room list box. If a room list is selected and the room is still not visible, verify that the room is visible in the GAL.

    1. Do one of the following:
      • In on-premises Exchange Server or in an Exchange hybrid environment, open the Exchange Management Shell.
      • In Exchange Online, connect to Exchange Online by using remote PowerShell. For more information, see Connect to Exchange Online PowerShell.
       2. Run the following command to create a room list:

                New-DistributionGroup

     3. **Run the following command to add existing rooms to the room list:**

    Add-DistributionGroupMember

To verify that a room is visible in the GAL, run the following command and verify that HiddenFromAddressListsEnabled is set to false: Get-Mailbox

Please note that my initial response may not resolve your current situation immediately. However, with your assistance and more detailed information, we can work together to find a specific direction for your current situation

If there is any update or I misunderstand you, please feel free to let me know. I will continue to assist you. Your understanding and co-operation are highly appreciated. Thanks for your precious time. Have a nice day!

    Sincerely,

    Nafis Iqbal Shuvo
