Hi @Kavita Mehta,
Good day! Thank you for reaching out to Microsoft Q&A forum and sharing the issue you're experiencing.
I understand you're trying to apply filters in a shared Excel file without affecting what other users see. I’m happy to guide you through a solution that suits your situation.
When working in a shared Excel workbook, especially one stored in OneDrive or SharePoint, Excel offers a feature called Temporary View. This allows you to filter and sort data without impacting others. However, sometimes Excel may not prompt you to choose “See just mine,” and your filters may become visible to others. Here’s how to resolve this:
1. Open the File in Excel Online (Web Version)
- Go to the shared Excel file via OneDrive or SharePoint.
- Right-click the file and choose Open in browser or Open in Excel Online.
- This version consistently supports Temporary View.
2. Use “Temporary View”
- Once the file opens, look at the top right corner.
- If you see a prompt that says “Would you like to see just your view or everyone’s?”, choose “See just mine.”
- If you don’t see the prompt, click on the View tab and select Temporary View manually.
3. Apply Your Filters
- Now apply your filters. These changes will only be visible to you.
- Excel will label your session as a Temporary View, keeping your filters private.
4. Close the File After Use
- When you're done, close the file. This helps Excel reset the view and prevents it from carrying over to other users.
Moreover, the desktop version may not always support Temporary View consistently. If you open the file in the app and don’t see the “See just mine” option:
- Try reopening the file in Excel Online.
- Alternatively, ask your team to use Excel Online when working with shared filters.
For more information, you can check below:
- If the file is protected, make sure only Filter and Sort permissions are enabled.
- Encourage your team to close the file after use to avoid Excel retaining shared views.
- You can also send feedback to Microsoft directly from Excel: File > Feedback > I Don’t like something.
Please let me know if you’d like help walking through these steps or if you’re seeing different behavior. I’m here to support you.
Thank you again for your patience and for choosing Microsoft Q&A forum. Please let me know if there’s anything else I can assist you with. I’m here to support you every step of the way.
