Setting up future meetings with participants using Teams calendar or Outlook integration

Thank you for reaching out regarding your question about adding a channel to a recurring meeting in the new Microsoft Teams experience. I understand how important it is to ensure all channel members receive calendar invites and email notifications.
In the new Teams interface, once a recurring meeting is created outside of a channel, it cannot be retroactively linked to a channel. This means you won’t be able to add a channel to an existing meeting series and have it behave like a native channel meeting (i.e., appear in the channel’s calendar and notify all members automatically)
To ensure all channel members receive invites and calendar updates, please follow these steps:
In Teams, go to the Calendar tab.
- Click New Meeting.
- In the meeting creation window, use the Add channel field to select the desired channel.
- Add any external participants manually in the Required attendees field.
- Click Send.
This ensures:
- The meeting appears in the channel’s Posts tab.
- All team members can join from the channel.
- The meeting is added to their Outlook calendars (if they’ve subscribed to the channel calendar)
If you’ve already created the meeting outside the channel:
- You’ll need to cancel and recreate the meeting within the channel to gain full channel functionality.
- Alternatively, you can copy the channel link and paste it into the meeting invite description. This allows attendees to access the channel manually, but it won’t trigger automatic calendar updates
Notes:
- Private channels do not support channel meetings.
- Channel members must manually add the meeting to their calendars if they don’t receive a direct invite.
- You can use Outlook’s “Send updates only to added or deleted attendees” option to avoid notifying all participants when adding new ones
