Missing Teams Meeting Link in Shared Calendar

The option to add Teams Meetings to a shared calendar invite appears to be unavailable. Has there been a change in functionality, or are there steps that need to be followed to restore this feature?

You're right. Many organizations have used shared calendars for scheduling Teams meetings without needing a separate Teams license. But over time, Microsoft has made some changes to how Teams integrates with Exchange Online, and that’s led to stricter requirements around licensing and configuration.

Here’s what’s different now:

  • Shared mailboxes don’t come with a Teams license by default, and as Teams features have evolved, things like generating meeting links now require a licensed user mailbox.
  • The Teams Meeting toggle might not show up in Outlook or Outlook on the web unless the shared mailbox is set up correctly and accessed using delegate permissions.
  • Microsoft now recommends using delegate access - meaning the user should have Full Access and Send As permissions - and adding the shared mailbox using the “Add Account” option in Outlook to ensure everything works as expected.

So, while it might feel like a change in how shared mailboxes work, it’s more about Microsoft tightening up how Teams and Exchange Online interact behind the scenes.

    Hi @Amy Keith,

    A Microsoft 365 license with Teams is required to schedule Teams meetings from a shared mailbox calendar. Because shared mailboxes don’t have credentials and can’t sign in to Teams, so they can't generate Teams meeting links.

    Even though it may appear possible, the Teams Meeting add-in requires a licensed, authenticated user to create the link.

    Here're options you can consider:

    Option A: Convert the shared mailbox to a licensed user mailbox

    • Assign a Microsoft 365 Business Standard, E3, or E5 license with Teams + Exchange Online
    • Sign in to Teams and Outlook as this user
    • You can now schedule Teams meetings directly from this calendar

    Option B: Continue using a licensed user to schedule on behalf of the shared calendar

    • Assign Full Access + Send As permissions to a user
    • That user can add the shared calendar to Outlook
    • Create meetings using their own Teams add-in, then invite others from the shared mailbox’s calendar

    This is a practical workaround without needing to license the shared mailbox - but the meeting technically originates from the user's Teams identity, not the shared mailbox.

    Note: If you’re unable to assign a license to the shared mailbox, your best workaround is to schedule from a licensed user account and invite attendees from the shared calendar.

    • The shared mailbox doesn’t have a Teams license, which is required to generate meeting links.
    • The Teams Meeting toggle is missing in Outlook or Outlook on the web.
    • The shared mailbox isn’t set up correctly to support online meeting options like Microsoft Teams.

    To work around this issue, you can try the following methods:

    1. Re-enable Teams Add-in

    • Go to Classic Outlook > File > Options > Add-ins > Manage COM Add-ins.
    • Uncheck Microsoft Teams Meeting Add-in, click OK, wait, then re-check and restart Outlook.

    2. Assign a Teams License to the Shared Mailbox

    If you need full Teams functionality, you can:

    • Convert the shared mailbox to a regular user mailbox.
    • Assign a Microsoft 365 license with Teams and Audio Conferencing > This enables full Teams meeting features.

    3. Use delegate access properly

    • Ensure the user has Full Access and Send As permissions to the shared mailbox.
    • Add the shared mailbox using Add Account in Outlook (not auto-mapping): Go to Classic Outlook > File > Info.
