Setting up future meetings with participants using Teams calendar or Outlook integration
Dear @Mariana Kumar,
Thank you for posting your question in the Microsoft Q&A forum!
While Teams meetings typically allow users to join directly, creating a calendar invite with an "Add to Calendar" option can often be done by using an (ICS) link format. However, this feature isn't natively built into Teams invites directly, but you can achieve a similar effect through Outlook.
Microsoft Teams meeting link is intended for joining the session rather than adding it directly to a calendar. To ensure recipients have an “Add to Calendar” option, here are a few practical approaches:
You can manually create and share an ICS file link:
- In Classic Outlook, create the meeting and Save As > .ics file.
- Upload the .ics file to OneDrive or SharePoint.
Copy the link and include it in your Teams invite or email with text like:
- When users click it, they can download and add the event to their calendar.
- Add to Calendar: https://yourcompany.sharepoint.com/.../meeting.ics
For Large Audiences: Consider using Microsoft Bookings or Teams Webinar, as these options automatically generate an “Add to Calendar” button for registrants.
