To remove duplicate emails on a Microsoft server, you may need to follow a few steps to identify and delete the duplicates. Here are some general guidelines:

    1. Use Outlook's Cleanup Tools: If you are using Outlook, you can use the built-in cleanup tools to remove duplicate emails. Go to the Folder tab, and select Clean Up Folder or Clean Up Conversation to remove duplicates.
    2. Third-Party Tools: Consider using third-party tools designed to find and remove duplicate emails. Tools like "Duplicate Email Remover" or "Outlook Duplicate Remover" can help automate the process.
    3. Manual Deletion: If the number of duplicates is manageable, you can manually go through your inbox and delete duplicate emails. Sort your emails by subject or date to make it easier to identify duplicates.
    4. Check Server Settings: Ensure that your email server settings are not causing duplicates. Sometimes, settings related to email forwarding or syncing can lead to duplicate emails appearing in your inbox.
    5. Backup Your Data: Before making any changes, ensure that you back up your emails to prevent any data loss during the cleanup process.

If the duplicates persist, you may need to consult your IT department or Microsoft support for more advanced troubleshooting specific to your server configuration.

    Dear john kwok
Welcome to the Q&A forum and thank you for sharing your concern with us.

Based on the information you provided, I understand that you currently have up to four duplicate copies of each original email on your Microsoft server. This issue is typically caused by synchronization errors, incorrect email client setup, or issues during a mailbox migration process.

To ensure I can provide you with the most effective and precise solution, I need to clarify a few details regarding how you access your mailbox.

Could you please let me know which application you are currently using to check and manage your emails?

    • Are you using a specific email application (like Outlook, Apple Mail, or another program)?
    • Or are you accessing your mailbox directly through a web browser (e.g., Outlook Web Access/OWA)?

This information is crucial as it will help me determine the most appropriate method for cleaning up the duplicates.

We look forward to your prompt response so we can assist you further and resolve this matter quickly.
