Using Classic Outlook on Windows for personal email, calendar, and contact management

I understand that the incident involves Outlook (classic) displaying multiple empty Gmail folder sets after incomplete add‑account attempts. Below are the remediation steps to clean up and prevent recurrence:
1. Remove duplicate Gmail accounts (Email tab)
- Go to File > Account Settings > Account Settings.
- On the Email tab, select any duplicate Gmail entries > Remove.
This only removes locally cached data on your PC, your mail remains safely in Gmail.
2. Close redundant Data Files in the folder pane
- In the Folder Pane, right‑click the top of each redundant set > Close “Outlook Data File”.
This detaches it from Outlook but does not delete the file from disk.
- If Close is unavailable, it’s likely the default data file. Change the default data file or remove the related account first, then close it.
3. Reset default folders & Navigation Pane (clear “ghost” entries)
- Open Run (Win + R) and execute:

4. Recommended: Create a fresh Outlook profile and add Gmail via OAuth
- Win + R >
outlook.exe /profiles> Options > New (you can enable Prompt a profile to be used). - In the new profile: File > Add Account > choose Google/Gmail > complete the Google sign‑in (OAuth).
- Ensure IMAP is enabled in Gmail: Settings > Forwarding and POP/IMAP > Enable IMAP.
5. Optional: Reduce Gmail labels shown via IMAP
- In Gmail > Settings > Labels, uncheck Show in IMAP for labels like Important, All Mail, Starred to keep the Outlook folder pane concise.
After completion, Outlook presents a single, active folder set for Gmail and the duplicate empty sets are removed.
