I completely understand the need to set up an out-of-office message, and I’d be happy to guide you through the steps in the new Outlook for Windows.
- First, in Outlook, click the gear icon in the top-right corner.
- Next, go to Accounts > Automatic replies.
- Here, toggle Turn on automatic replies.

- If you’d like to send replies only during a specific time period, check the option and set your start and end dates.
Then, type your internal message.

If you also want to notify external senders, simply enable Send replies outside your organization and add that message as well.

For your reference: Send automatic replies (out of office) from Outlook.
Please note that these automatic replies work even if Outlook is closed because they’re handled by the server. If you don’t set an end time, remember to return here later to turn them off.
If you need to set an out-of-office message for a shared mailbox in the new Outlook, you’ll first need to add the shared mailbox as an account (this requires Full Access permission). Once added, you’ll see it under Accounts, and you can open Automatic replies for that mailbox just like your own.
