Using New Outlook on Windows for personal email, calendar, and contact management

When Gmail mail arrives late (or not at all) in Outlook, it’s commonly related to the Google sign-in connection needing a refresh, background sync being interrupted, or a large Gmail folder set (especially All Mail) taking longer to sync/index.
Please try these in order:
1) Refresh the Google connection
- Close New Outlook.
- Google Account > Security > Your connections to third-party apps & services > remove Microsoft apps & services.
- Reopen New Outlook and sign in/add the Gmail account again.
Note: This doesn’t delete any Gmail mail—only Outlook’s authorization to access it.
2) Clear cached credentials (forces a fresh Google sign-in)
- Open Control Panel > Credential Manager > Windows Credentials.
- Look specifically for entries such as:

MicrosoftAccount:user=…(associated with your Gmail sign-in), and/or Generic Credentials that mentioncom.microsoft.Outlook

- Remove only those Outlook/Gmail-related entries, then restart New Outlook and sign in again.
Disclaimer: Avoid deleting unrelated credentials (VPN, other apps, work/school accounts) unless you’re sure they relate to Outlook/Gmail.
3) If your Gmail mailbox is large (reduce “All Mail” IMAP load)
If you have a big archive (tens of thousands of emails) and All Mail is syncing, Outlook may lag while it syncs/indexes. You can stop All Mail from being exposed to IMAP:
- Open Gmail on the web > Gear icon > See all settings
- Go to Labels
- Find All Mail and uncheck “Show in IMAP”
- Restart New Outlook
Note: This can significantly improve sync performance, but archived mail may not appear under an “All Mail” folder in Outlook (it remains available in Gmail on the web).
4) Repair / Reset (last resort)
- Windows Settings > Apps > Outlook (new) > Advanced options > Repair.
- Use Reset only if needed.
Disclaimer: Reset clears New Outlook’s local app data and you may need to re-add/reconfigure all accounts in New Outlook (not just Gmail). It won’t delete emails from Gmail, but it does remove the app’s saved setup.
