How to connect an Outlook Meeting to an existing Teams link

Someone in my organization posted a Teams meeting link on a Sharepoint site. It was easy enough to download the Sharepoint event as an Outlook meeting to my Calendar. However, in Calendar, the Teams meeting is just a regular link that I have to click.

What I would like to see is a way to simply add that Teams link to the imported meeting. Basically, subscribe to that Teams meeting, so that when it starts, I get the prompt to join in.

Otherwise, I have to get a notification, then open the Meeting details and click the link.

To connect an Outlook meeting to an existing Teams link, you can create or set the event as an online meeting in your Outlook calendar. However, if the Teams meeting link is already part of an imported calendar event, you may not be able to directly subscribe to it or modify it to behave like a native Teams meeting in Outlook.

When you import a meeting from SharePoint, it typically retains the link as a regular URL. To ensure you receive notifications and can join the meeting directly from your calendar, you might consider creating a new calendar event in Outlook and manually adding the Teams meeting link to it. This way, you can set reminders and notifications as needed.

Unfortunately, there isn't a built-in feature to convert an imported meeting link into a Teams meeting that automatically prompts you to join at the start time. You will need to manage this manually by creating a new event with the Teams link included.

    Dear @Erich Zimmerman

Thank you for posting your question in the Microsoft Q&A forum.

I understand how inconvenient it must be to import a SharePoint event into Outlook only to find that the Teams link is treated as a regular hyperlink rather than a fully integrated Teams meeting.

When an event is created directly as an online meeting, Outlook adds specific metadata that identifies Teams as the meeting provider. This information is applied at the moment the meeting is scheduled. If the event is downloaded from SharePoint and only contains a Teams link in the body, Outlook interprets it as a regular appointment. Because of that, the Join button and one click join experience do not appear.

In the new Outlook for Windows, Teams is integrated natively and the online meeting details are added automatically after the meeting organizer sends the invite. A pasted link does not include the required meeting metadata, so Outlook cannot surface the Join experience.

Below are a few options you can consider:

Note: Since your post is tagged with the New Outlook desktop app, please let me know if you would also like me to provide the steps for classic Outlook.

Option 1: Open the group calendar in Outlook

Open Outlook and switch to the Calendar view.

In the left navigation pane, look under Groups to see all Microsoft 365 Groups you are a member of.

Select the group you want to view calendar.

If you don’t see the Group in the left sidebar:

Go to the Mail tab > In the navigation pane, select Go to Groups.

Choose the group you want and select Events in that group > View in calendar.

Click the meeting in the group calendar and choose “Add to my calendar".

Once added, the event appears on your calendar as accepted, allowing Outlook to show the Teams Join button and send meeting notifications. You can then toggle the group calendar on or off depending on your preference.

Option 2: Request the original Teams meeting invite

This ensures Outlook recognizes the event as a true online meeting.

Ask the event organizer or SharePoint page owner to invite you directly from Outlook.

Accept the meeting invitation from your Inbox.

After accepting, the event will appear in your calendar with the Teams Join button, meeting chat and all online meeting functionalities.

I completely understand how these limitations in the new Outlook can feel disruptive. It’s not just about aesthetics; these differences can genuinely affect how smoothly you work and navigate your day.
