Teams webinar calendar invites not received by co-organisers and presenters

Hi,

We are having an issue with Teams webinar. One of our co-organisers and presenters has not received their calendar invite to the webinar that they are co-hosting and presenting in.

We've tried re-adding the co-organiser and presenter, but to no avail. This individual does show up as presenter in the webinar, however there is no unique presenter link available for him.

Can you advise if sharing the join link from the calendar, will take the co-organiser/presenter straight to the green room (this is enabled for our webinar) when he clicks on the join link (see attached screenshot)?

    Hello Amy Ryan,

Thank you for posting your question in the Microsoft Q&A forum.

Since your colleague already appears as a presenter or co‑organizer inside the webinar settings, using the normal webinar to join link from the calendar will still allow them to enter the Presenter Green Room. Teams assign presenter permissions based on the user’s role within the webinar configuration, not based on whether they received a presenter‑specific invitation email. This means that even without receiving the calendar invite or a unique presenter link, the presenter will still be recognized correctly when they join through the standard link.

Missing invitations can happen for several reasons, such as changes to roles after the webinar was created or calendar sync issues, but these problems do not affect access rights during the webinar. As long as the presenter is listed in the event meeting options, Teams will automatically direct them to the Green Room and give them presenter capabilities.

If you would like to double‑check, you can temporarily remove and re‑add the presenter and then ask them to join using the normal meeting link. They should go directly to the Green Room, confirming that everything is working as expected.

Sharing the standard join link from the webinar calendar item will not guarantee that the co-organizer/presenter goes directly to the green room.

For organizers and presenters, the behavior depends on how they join and which link they use:

    1. Unique presenter link requirement
External presenters and co-organizers are expected to use their unique presenter link. As documented, an external presenter’s unique link only works when signed into Teams with the same email address that received the link, and it cannot be used anonymously or with a different account. If there is no unique presenter link for this person, that indicates an issue with how the invitation was generated or delivered.
    2. Joining via generic attendee/join link
If a person who should be a co-organizer or presenter joins using a generic attendee link (for example, the join link from the calendar item or an attendee URL), they will join as an attendee. In that case, an organizer must promote them to presenter from within the meeting. Only then will they have presenter capabilities and be able to participate in the green room experience.
    3. Joining by phone
If a co-organizer or presenter joins by phone, they also join as an attendee until an organizer promotes them to presenter. The note for structured meetings/webinars/town halls states that dial-in participants enter as attendees and must have their role changed to Presenter.
    4. Green room behavior
The green room is available only to organizers and presenters. When the green room is enabled and a user joins as an organizer/co-organizer/presenter (with the correct role and link), they are placed in the green room before the event starts. If they join as an attendee (for example, via a generic attendee link), they will not be in the green room; they will see the attendee experience instead until promoted.

Given the symptoms (no calendar invite and no unique presenter link), the safest approach is:

    • Verify that the person is added as a presenter/co-organizer in the webinar configuration.
    • Ensure that the correct email address is used and that any external email security/spam filtering is not blocking webinar invitations (for example, by allowing the Dynamics 365 email delivery service IPs as described in the troubleshooting guidance).
    • If they must join using a shared or attendee link, plan to have an organizer promote them to presenter after they join so they can then participate in the green room.
