My Copilot button is greyed out

Hi there, I would like to have the copilot button for the outlook classic in my ribbon. I managed to add it successfully however it is greyed out no matter what I do on outlook. I am fully licensed and the copilot button on the top right (the one inserted by Microsoft) IS working. As a preference, I would like the copilot button to be on the ribbon like it used to be but I can't get it working. I've checked for updates, restarted the laptop, repaired outlook but still nothing.

    Hi @Ryuma Rocco,

Thank you for getting in touch.

I understand how inconvenient it is to see the Copilot button in your Outlook ribbon but find it greyed out - especially since you’re fully licensed and the Copilot experience in the top‑right corner is working as expected.

Here are some steps you can try to troubleshoot:

1/ Try using Outlook on the web

First, please sign in at https://outlook.office.com and test Copilot there. This helps confirm whether the issue is specific to Classic Outlook or related to your account configuration.

2/ Re‑add the Copilot button to make it active (compose window)

In Classic Outlook, Copilot only becomes active in the compose message window, not the main Home tab. To activate it:

    • Go to File > Options > Customize Ribbon
    • In the right panel, expand Main Tabs > Message (under the compose window section, not Home)
    • (Optional) Create a new custom group: Select Message > New Group > Rename (e.g., “Copilot”)
    • Under Choose commands from, select All Commands
    • Add Copilot, Draft with Copilot, or Coaching by Copilot (whichever appears) into your new group
    • Select OK, then open New Email and check the ribbon there
    • The Copilot button should now be available and clickable in the compose window.

You can double‑check these common prerequisites:

These are the most frequent reasons why the Copilot ribbon button stays disabled:

    1/ Update channel and version

    Classic Outlook requires specific channels/builds:

    • Current Channel or Monthly Enterprise Channel only
    • Not supported on Semi‑Annual Enterprise Channel
    • Your IT admin can confirm your update channel and update Outlook if needed.

2/ Autodiscover V2 enabled (Classic Outlook)

Copilot relies on Autodiscover V2. If your organization has disabled this via policy or registry, Outlook may show Copilot UI but keep it inactive. Your IT admin can confirm that DisableAutodiscoverV2Service is not blocking the service.

3/ Primary mailbox hosted in Exchange Online

Copilot is only supported when your primary mailbox is on Exchange Online.

If your account is connected as IMAP/POP instead of Microsoft Exchange, the Copilot button may stay greyed out. Your profile may need to be re‑added as an Exchange account.

    4/ Connected experiences enabled

If your organization restricts “connected experiences that analyze content,” Copilot features may not activate in desktop apps. Your IT admin can verify these privacy settings.

    If the issue continues:

I recommend asking your IT admin to review these requirements. If they cannot identify the cause, they can open a support request in the Microsoft 365 Admin Center so Microsoft Support can investigate further.

I hope this helps fix the issue. Please try the steps above and let me know how things go. If the problem persists, I’ll be happy to continue working with you.

The Copilot command being present but greyed out on the classic Outlook ribbon while the top‑right Copilot entry point works indicates a feature/enablement issue in Microsoft 365 Apps rather than a licensing problem.

Based on the documented Copilot troubleshooting and enablement steps, the following checks and fixes apply to classic Outlook on Windows:

    1. Confirm the correct Copilot‑licensed account is primary
      • In any Microsoft 365 app (including Outlook), ensure the primary account shown at the top of the window is the one with the Copilot license.
      • For business users, this must be an account with a supported Microsoft 365 subscription (Business Basic, Business Standard, Business Premium, E3, E5, F1, or F3) and Microsoft 365 Copilot assigned.
    2. Refresh the Microsoft 365 license in a desktop app
      1. Open any Microsoft 365 app (for example, Word or Excel).
      2. Go to File > Account.
      3. Select Update License.
      4. Close all Microsoft 365 apps (including Outlook) and reopen Outlook.
    3. Make sure Outlook is on a supported update channel and build
      • Copilot features in Microsoft 365 Apps are not available on the Semi‑Annual Enterprise Channel.
      • To check the channel:
        1. Open any Microsoft 365 app (Word, Excel, or PowerPoint).
        2. Select File > Account.
        3. In Product Information, check the update channel. If it shows Semi‑Annual Enterprise Channel, Copilot features in the desktop apps (including ribbon commands) will not be fully available.
      • If on Semi‑Annual Enterprise Channel, contact the Microsoft 365 admin or internal help desk to move the device to Current Channel or Monthly Enterprise Channel. Until then, Copilot will be fully available only in the web apps.
    4. Verify Outlook privacy settings for connected experiences
      • Copilot and other intelligent features can be disabled by privacy settings.
      • In a Microsoft 365 app on Windows:
        1. Open any app (such as Outlook, Word, or Excel).
        2. Go to File > Account.
        3. Under Account Privacy, select Manage Settings.
        4. Ensure Experiences that analyze your content is turned on.
        5. Scroll down and make sure All connected experiences is turned on.
      • If Outlook is managed by an organization, these options may be controlled by policy; in that case, the Microsoft 365 admin must allow these connected experiences for the Copilot ribbon command to function.
    5. If Copilot is still missing/disabled in the ribbon
      • Follow the full guidance in “How to find and enable missing Copilot button in Microsoft 365 apps” for Windows (steps to confirm account, update build, refresh license, check channel, and privacy settings).
      • If the issue persists after all steps, the Microsoft 365 admin should verify that:
        • The user has a license that supports Microsoft 365 Copilot.
        • Copilot is not blocked by organizational policies.

These steps address the known causes where Copilot is missing, disabled, or not working correctly in Microsoft 365 Apps, including classic Outlook on Windows.
