Hi Pana matheos,

Welcome to Microsoft Q&A forum.

Please try the steps suggested by QA Assist first (in the same order).

If the issue persists, please confirm:

  • Are you using an Android phone or an iPhone?
  • On the phone, are you checking mail via the Outlook mobile app, Outlook.com in a browser, or the default Mail app?
  • Are the emails missing from the list, or do they appear only after you refresh/sync manually?

Thank you for your time and understanding.

On a phone, Outlook or the Mail app may not show all the messages that appear on a laptop because of sync and filtering settings, or because the mobile app is only downloading a limited date range.

    Try these checks and adjustments:

    1. Check sync duration (how much mail is downloaded)
If using Mail for Windows 10 or a similar Microsoft mail app on the phone:
      1. Open Mail.
      2. Go to Manage Accounts and select the email account.
      3. Select Change mailbox sync settings.
      4. Under Download email from, choose any time so older and more messages are downloaded, not just the last few weeks.
    2. Check how often new mail is downloaded
If new messages arrive late or only when refreshing manually:
      1. Open Mail.
      2. Go to Manage Accounts > select the account.
      3. Select Change mailbox sync settings.
      4. Under Download new content, select as items arrive so new mail appears as soon as it reaches the server.
    3. Check filters and folders in Outlook.com
If the phone is connecting to Outlook.com, some messages may be hidden by filters or moved by rules:
      • In Outlook.com, select Filter above the message list and choose All so nothing is hidden by a filter.
      • Check Junk Email, Archive, and other folders to see if messages are being moved there.
      • Review Rules in Outlook.com to make sure no rule is moving or deleting new messages.

If the laptop shows all mail correctly in Outlook or Outlook.com, adjusting the sync duration, download frequency, and filters on the phone so they match the laptop usually resolves the difference.
