Issue with Candidate Slot Booking

As part of our recruitment process, the initial step involves sharing a presentation link with candidates. This link is intended to allow candidates to book a presentation slot according to both the scheduled sessions and their individual availability. The goal is to provide a seamless experience where candidates can view all available slots and select the one that best suits them.

While the link has already been shared with candidates, we have received feedback that they are currently unable to book their preferred slots. The system was displaying only a single available slot, which does not reflect the full schedule but now it is displaying no slots are available. For reference, the presentation is planned to be conducted three times per week. However, the current booking system does not show all available sessions, preventing candidates from selecting a slot directly.

Ideally, we aim to implement a solution where:

  1. A single, consistent link can be shared with all candidates.
  2. Candidates are able to view all available presentation slots in real time.
  3. Candidates can select and confirm their preferred time slot without encountering technical restrictions.

Resolving this issue will improve the candidate experience, reduce confusion and streamline the scheduling process for the recruitment team. We would appreciate any guidance or support on addressing this technical limitation so that the system accurately reflects all available presentation slots.

    Hi @HR

Thank you for posting your question in the Microsoft Q&A forum.

I understand that other users are able to access the Microsoft Bookings link but are currently unable to complete a booking. To help narrow down the root cause and assist you more effectively, I’d like to ask a few quick questions about the behavior you’re seeing and how the booking is configured.

    • Has this issue occurred before, or did it start recently?
    • Does this affect all candidates, or only some users?
    • Is the staff availability for the service set to “Use business hours”, or is a custom availability configured?  User's image
    • Are the assigned staff members marked as available during the intended presentation times?
    • And also could you check the lead time ? Adjusting the minimum lead time for the service to 1 hour and see whether that improves the behavior.  User's image
    • How is the presentation set up in Microsoft Bookings?
      • As one service with recurring availability (for example, three times per week), or
      • As multiple individual services or sessions created separately?
    • What is the capacity setting for the service?
      • Is there a limit on the number of attendees per time slot?
      • Has the capacity already been reached for any of the visible or previously available slots?

These details will help determine whether the issue is related to availability settings, capacity limits, or the way the service is configured in Microsoft Bookings.

I really appreciate your patience, and I’m here to help. Looking forward to your response.

The described behavior matches a scheduling scenario where the underlying calendar or booking configuration doesn’t actually expose recurring or multiple sessions as free, so the public link correctly shows only one or no available slots. To achieve a single link that always shows all open presentation slots, the booking system must be configured so that:

    1. All presentation sessions are created as bookable appointments on the presenter’s calendar.
    2. Those appointments are exposed to the booking front end as available time.
    3. The public link always points to that single booking experience.

Within Microsoft’s scheduling capabilities, there are two relevant patterns shown in the context:

    1. Interview schedule in Dynamics 365 Human Resources Recruiting add-on
      • Recruiters book time slots on panel members’ Outlook calendars, then share those confirmed slots with candidates.
      • Candidates receive an email listing all confirmed slots and select one; if two candidates pick the same slot, the system assigns it based on who applied first and updates availability for others.
      • This model guarantees that candidates only see genuinely available slots and can self-select without conflicts.
      Applied to the presentation scenario:
      • Treat each presentation occurrence (three times per week) as a “panel member” booking on the presenter’s Outlook calendar.
      • Use the Interview scheduling feature to:
        1. Book all recurring presentation slots on the presenter’s calendar as available interview slots.
        2. Share those slots with all candidates from the Send meeting invite area so they receive the same list of available times.
        3. Let candidates pick their preferred slot; the system automatically updates the slot status to Confirmed and removes it from other candidates’ options when it is taken.
    2. Schedule and manage meetings template in Power Pages
      • Provides a single scheduling website where external users (for example, bank customers) can:
        • See available appointment times with a representative.
        • Book, cancel, and reschedule via links in email confirmations.
      • Representatives manage their calendars and block out time; only unblocked time appears as bookable.
      Applied to the presentation scenario:
      • Implement a Power Pages site using the Schedule and manage meetings template.
      • Configure the presenter as the “representative” and define a service representing the company presentation.
      • Set up recurring availability (three sessions per week) in the representative’s schedule and block any times that should not be bookable.
      • Share the single Power Pages URL with all candidates. The site will always show real-time availability based on the configured schedule and existing bookings.

To resolve the current issue where candidates see only one or no slots:

    • Ensure that all intended presentation sessions are actually created and exposed as available in the underlying calendar/scheduling system (for example, as confirmed slots in Dynamics 365 Human Resources Recruiting or as available time in the Power Pages scheduling template).
    • Use a single, consistent booking surface (Dynamics 365 Recruiting’s shared slots or a Power Pages scheduling site) and share that link with all candidates instead of separate or ad-hoc links.
    • Rely on the system’s built-in conflict handling so that when one candidate books a slot, it is automatically removed or marked as unavailable for others.

This configuration provides a single link, real-time visibility of all available presentation slots, and self-service booking for candidates.
