Managingsharepoint file activity & restoring file versions

My account has been linked to creating/modifying sharepoint file. However I did not actively do it. Is there a way to manage file history? Were things deleted from a file that I need to get back?

    Dear @Eisenberg Jacob J

Good day, and I appreciate the clear explanation of your concern.

In SharePoint and OneDrive, the “Modified by” field is updated whenever a file is saved back to the service under a signed in account. This can happen even without direct editing. Common situations include opening a file while AutoSave is enabled, background saves from Office applications, or file synchronization through the OneDrive sync client. In these cases, the system may record the save action under your account even though no deliberate content changes were made.

Below are the most effective ways to verify what happened and recover any content if needed:

Option 1: Check Version History to review or restore content

This is the fastest and most reliable way to recover previous content if the file still exists.

Go to the SharePoint document library where the file is stored.

Select the file, then click the three dots menu.

    Choose Version history.

Open an earlier version to review its contents.

If the version contains the information you need, select Restore.

Note: Restoring a version does not delete other versions. SharePoint creates a new latest version using the restored content, so you can still return to other versions later if needed.

Option 2: Review recent file activity in the library

This option helps you quickly see recent actions related to the file or library.

    Open the document library.

Select the file and open the Details pane using the information icon.

    Choose More details.

Review the Activity section to see recent create, edit, or delete actions.

Note: This view is designed for recent activity only and may not show older events.

Option 3: Restore a deleted file from the SharePoint Recycle Bin

If the file or folder is missing entirely, it may have been deleted.

Open the SharePoint site where the file was stored.

    Go to Recycle bin.

Locate the file and select Restore.

If the item is not in the first Recycle Bin, it may have moved to the second stage Recycle Bin. A site collection administrator can check and restore items from there.

Option 4: Confirm versioning settings if history is limited

If version history is missing or does not go back far enough, the library’s versioning settings may be limiting how many versions are kept.

Steps if you have owner permissions:

    Open the document library settings.

    Select Versioning settings.

Confirm that versioning is enabled and review how many versions are retained.

If you do not have access to these settings, a SharePoint site owner or administrator can review them for you.

Option 5: Request an admin audit check for confirmation of activity

If you need to definitively confirm when and how the changes were made, including whether they came from your device or another client, an administrator can check the Microsoft Purview audit log.

    What an admin typically does:

Open the Microsoft Purview portal (Microsoft 365 admin center > Show all > Microsoft Purview) and go to Audit.

Run an audit search for SharePoint or OneDrive file activities.

Filter by your user account and the affected file or time range.

Review or export the results for deeper analysis.

This provides the most accurate record of file operations and is useful if you suspect unexpected use of your account.

SharePoint and OneDrive track who created/modified files and also keep version history if versioning is enabled. Even if a file was changed or partially deleted, earlier versions may be recoverable.

To check and restore previous versions of a file in SharePoint/OneDrive:

    1. Go to the SharePoint document library (or OneDrive) where the file is stored.
    2. Find the file in question.
    3. Select the file, then either:
      • Right‑click it and choose Version history, or
      • Select the ellipses (...) next to the file and choose Version History.
    4. In the Version History pane/list, you will see a list of previous versions with dates and who modified them.
    5. For the version that contains the content that is needed:
      • Select the ellipses (...) or the drop‑down arrow next to that version.
      • Click Restore, then confirm (for example, OK).

This will roll the file back to that earlier version, effectively undoing deletions/changes that happened later. Version history works for all file types stored in SharePoint/OneDrive, as long as versioning is turned on for that library.

If the file itself (or an entire version) was deleted:

    1. Go to the SharePoint site.
    2. Open the Recycle Bin (Site Contents → Recycle Bin).
    3. Look for the deleted file or item and select Restore.
      • Deleted versions are kept in the SharePoint Recycle Bin for up to 90 days.

    If many files were deleted/overwritten/corrupted:

    1. Consider restoring the entire OneDrive or shared library to a previous time using Files Restore.
    2. If only a few files are affected, use Version History on those specific files as described above.

If the needed content is not in version history or the Recycle Bin, recovery options are limited and may require contacting the Microsoft 365/SharePoint admin or support.
