Hi

A multi- national customer wants to cancel their licenses with a Microsoft licensing provider in Europe with a transfer their services and License Renewals and purchase additional licenses with a Microsoft Partner in a Local region instead. Does Microsoft offer a Grace Period for License Cancellation if the customer requested the cancellation a couple months before April 2026?

    Hi @Shireen

Thank you for reaching out and for outlining your plans to transition your Microsoft services and future license renewals to a local Microsoft partner.

I would like to clarify Microsoft’s current licensing policies, specifically regarding cancellation and any potential grace period, so you can plan the transition with full visibility and no unexpected impact.

Grace Period and Early Cancellation  Microsoft does not offer a grace period that allows licenses to be cancelled months in advance of their contractual end date. For CSP / New Commerce subscriptions, licenses are financially committed for the full term once the initial post‑purchase cancellation window has passed (typically a very short window after purchase). Requesting cancellation ahead of the end date does not waive the remaining contractual charges.

Changes Effective April 2026  It is also important to note that effective 1 April 2026, Microsoft is removing the historical free post‑expiration grace period. At the end of a subscription term, customers must explicitly choose one of the following options:

    • Renew the subscription
    • Cancel at end of term (services stop immediately at expiry)
    • Move into an Extended Service Term (EST), which allows continued service on a paid, month‑to‑month basis at a small uplift over the standard monthly price

The EST is designed as a short, paid bridge after expiration; it is not an early‑cancellation grace period.

Partner Transition Considerations  When moving between Microsoft partners or regions, licenses cannot be transferred mid‑term. The standard and supported approach is to:

    • Leave existing subscriptions active until their natural end date
    • Turn off auto‑renewal where appropriate
    • Align the purchase of new subscriptions with the local partner to commence at or just before expiry, ensuring continuity of service

If there is a gap in timing after expiry, the Extended Service Term can be used briefly to avoid disruption, acknowledging that it is billable.

Recommendation  Given the April 2026 policy change, I strongly recommend confirming renewal and transition timelines well ahead of each subscription’s end date. This ensures continuity of service and avoids unintended charges or interruptions during the partner transition.

Microsoft does not provide a general “grace period” that allows early cancellation of Microsoft 365 or other license-based subscriptions months before end of term without following the standard cancellation rules.

From the provided information, the relevant grace/cancellation behaviors are:

    1. New commerce (CSP) cancellation windows
For CSP/new commerce seat- or license-based products, cancellation is only allowed within a defined, short window at the start of each term:
      • License-based (per user): Prorated refund only within seven calendar days of purchase. After seven days, cancellation is not available and the partner is billed for the full term.
      • Software subscriptions: Prorated refund within seven days of purchase; no license reductions after that seven‑day window.
      • Perpetual software: Full refund within 30 days of purchase.
      • Marketplace SaaS: Full refund (excluding metered charges) only if canceled within 72 hours of purchase; after that, cancellation/refund depends on the ISV publisher.
These rules are summarized in the new commerce cancellation policy and in the software subscription cancellation guidance.
    2. End-of-term behavior and Extended Service Terms (EST)
For CSP subscriptions approaching end of term, Microsoft is introducing Extended Service Terms (EST), with enforcement starting May 4, 2026. Key points from the EST documentation and announcements:
      • Historically, many subscriptions had a free grace period after expiration; Microsoft has announced that this free grace period will be discontinued.
      • After expiration, customers and partners will have three choices: renew, cancel, or move to a paid EST to maintain service while deciding next steps.
      • Grace period end dates will align with end-of-term dates for most subscriptions once EST is enforced.
      • EST is about post‑expiration service continuity, not about early cancellation months before term end.
    3. Manual transfer guidance (non‑CSP to CSP)
When moving customers between channels/partners, the documented guidance is to wait until subscriptions are near their natural expiration and then:
      • Turn off autorenew on the old subscriptions so they can expire.
      • Use the built‑in Expired state and its grace period (typically 30 days) to repurchase under the new partner without service interruption.
This is a lifecycle/grace period around expiration, not an early‑cancellation grace period.
    4. Windows 365 and user‑level grace periods
Some products have user‑level grace periods when licenses are removed (for example, Windows 365 Cloud PCs have a 7‑day grace period after license removal before the Cloud PC is deleted; Exchange Online data is retained for 30 days after license removal). These are data/service retention grace periods, not billing or contract‑cancellation grace periods.

Putting this together for the scenario:

    • A multinational customer wanting to cancel licenses with a European provider and move to a local-region partner must follow the standard cancellation and term rules of each subscription.
    • For CSP/new commerce seat‑based subscriptions, there is no special multi‑month “grace period” for cancellation; cancellation with refund is limited to the initial seven‑day window (or other product‑specific short window). After that, the subscription normally runs to the end of term and is billed for the full term.
    • For transfers around April/May 2026, partners should plan around end‑of‑term options and EST (renew, cancel, or move to paid EST) rather than expecting an early‑cancellation grace period.

Therefore, Microsoft does not offer a general grace period that would allow cancelling existing licenses a couple of months before April 2026 outside the standard, documented cancellation windows. The recommended approach is to manage autorenew and term end dates, use the normal expiration and grace‑period behavior, and then repurchase under the new partner.
