    Hi @GEORGE STRAUGHAN

I hope you're doing well today.

Based on the information you shared that you would like to close your account because it is redundant and no longer needed.

In Microsoft 365, the email address is typically linked to a user account and its assigned license, so the correct closure path depends on whether your goal is to stop charges, prevent sign in, or fully delete the user while protecting any data that may need to be retained. In addition, user data can remain recoverable for a limited time after deletion, so it is important to choose the approach that matches your business requirement.

Below are some workable options that might be the most appropriate for your current situation:

Scenario 1: If you are using a Microsoft 365 business account (work or business account)

    • Sign in to the Microsoft 365 admin center, then go to Users, and select Active users.
    • Select your account, open Licenses and apps, and then turn off the license assigned to this account, then save the changes.

    • After the license is removed, the license becomes available to reassign, and the account will no longer have access to the licensed services, which helps avoid paying for an unused license going forward. Remove and delete a Microsoft 365 license from a user
    • From the same user profile, select Block sign in so the account cannot access Microsoft 365 services, which helps protect your organization while you complete the closure steps.

Scenario 2: If you are using a Microsoft 365 personal account (Microsoft 365 Personal or Family)

    • Log in to your personal Microsoft account at https://account.microsoft.com/
    • Download and save any files, emails, or other data from services like OneDrive. Export or move files to another storage service.
    • Cancel any subscriptions linked to the account (e.g., Xbox, Microsoft 365 Personal).
    • After that, go to Services & subscriptions and cancel items like Microsoft 365, Xbox, or extra storage.
    • In Payment & billing, remove saved cards or payment options linked to the account.
    • Start the closure process from Microsoft’s Close your account flow, complete the checklist, choose 30 days, select a reason, then choose Mark account for closure.
    • During the waiting period, signing in will reopen the account if you change your mind.

I hope this information is helpful. Please follow these steps and let me know if it works for you. If you have any updates regarding the issue, please feel free to share them with me.

Thank you for your patience and your understanding. I look forward to continuing the conversation.

To close a redundant Microsoft 365 business account and its subscription, first cancel and remove the subscription, then complete the tenant closure steps. For a business subscription, this must be done by a Global Administrator of that tenant.

    1. Sign in as Global Administrator
      • Sign in to the Microsoft 365 admin center with the Global Administrator account for the tenant that owns the subscription for [Moderator note: personal info removed].
    2. Delete all users except the Global Administrator
      • In the admin center, delete all user accounts that are no longer needed, leaving only the Global Administrator.
      • If users are synchronized from on-premises Active Directory, first turn off sync, then delete the users in the cloud directory using the Azure portal or Azure PowerShell, as described in Delete Microsoft 365 user accounts with PowerShell.
      • For detailed steps, see User management admin: Delete one or more users.
    3. Cancel all active subscriptions
      • In the Microsoft 365 admin center, go to Billing and cancel the active Microsoft 365 subscription associated with this tenant. Follow the steps in Cancel your subscription.
      • If the billing account type is Microsoft Customer Agreement (MCA) and the subscription is outside the cancellation window, turn off recurring billing and wait for the subscription to expire at the end of its term.
    4. Delete all disabled subscriptions
      • After cancellation and once subscriptions show as disabled, delete them:
        • Go to the Microsoft 365 admin center → Billing → Your products.
        • Select each disabled subscription → Delete subscription and confirm.
      • If the billing account type is MCA, disabled subscriptions are deleted automatically at the end of the term and cannot be manually deleted.
    5. Complete tenant/account closure
      • After all users (except the Global Administrator) and all deletable subscriptions are removed, follow the remaining steps in the Close your Microsoft business account process to complete closure of the business account/tenant.

If the account to be closed is a personal Microsoft account instead of a business tenant, sign in to the Microsoft Account Close Portal, follow the checklist, acknowledge the warnings, and select Mark account for closure. The account will be closed after the selected waiting period unless reopened.
