In Microsoft 365, the email address is typically linked to a user account and its assigned license, so the correct closure path depends on whether your goal is to stop charges, prevent sign in, or fully delete the user while protecting any data that may need to be retained. In addition, user data can remain recoverable for a limited time after deletion, so it is important to choose the approach that matches your business requirement.
Below are some workable options that might be the most appropriate for your current situation:
Scenario 1: If you are using a Microsoft 365 business account (work or business account)
- Sign in to the Microsoft 365 admin center, then go to Users, and select Active users.
- Select your account, open Licenses and apps, and then turn off the license assigned to this account, then save the changes.
- After the license is removed, the license becomes available to reassign, and the account will no longer have access to the licensed services, which helps avoid paying for an unused license going forward. Remove and delete a Microsoft 365 license from a user
- From the same user profile, select Block sign in so the account cannot access Microsoft 365 services, which helps protect your organization while you complete the closure steps.
