    Hi @Karen Lee

In Classic Outlook for Windows, shared mailboxes typically do not appear in the Rules and Alerts dropdown because they are auto-mapped rather than added as full accounts. Additionally, shared mailboxes do not have their own login credentials, so they cannot be added using the standard account sign-in process.

As a result, the most practical and reliable approach is to create inbox rules in Outlook on the Web (OWA), where rules are stored server-side and applied automatically to the shared mailbox.

You must have Full Access permission to the shared mailbox to create and manage rules. Then, you can follow these steps:

    1. Sign in to Outlook on the web with your own account.
    2. Click your profile picture in the top-right corner.
    3. Select Open another mailbox.
    4. Open the shared mailbox.
    5. Go to Settings > Mail > Rules.
    6. Create the rule to move emails to the desired folder.

Once created, the rule runs on the server and automatically moves incoming emails to the specified folder. You will see the result of the rule in Classic Outlook (for example, emails being delivered directly into the target folder), even though the rule itself was created and managed in OWA.

Here are detailed instructions on how to add a shared mailbox as fully-fledged account in Classic Outlook: https://michev.info/blog/post/3567/how-to-add-a-shared-mailbox-as-additional-account-in-outlook-2022-version

Once you do this, you will be able to access rules and any other functionality in the same manner as you do for your own mailbox.

Use either Outlook rules in the shared mailbox itself or Exchange PowerShell Inbox rules, depending on permissions and admin access.

To create a rule directly in Outlook (shared mailbox added to profile):

    1. Open Outlook classic for Windows and expand the shared mailbox in the folder list.
    2. Select the folder in the shared mailbox where the messages arrive (typically its Inbox).
    3. On the Home tab, use the Rules command (for example, right‑click a message, choose Rules > Create Rule or use the Rules wizard) and define:
      • Conditions that match the criteria (for example, From, Subject contains, etc.).
      • Action Move the message to folder and choose the target folder in the shared mailbox.
      • Any exceptions if needed.
    4. Save the rule. Messages that meet the conditions will be moved automatically to the specified folder.

To create an Inbox rule with Exchange PowerShell (admin / delegated scenario):

    1. Ensure adequate permissions on the shared mailbox to create Inbox rules.
    2. Use New-InboxRule targeting the shared mailbox and specify a move action, for example:
      • Use condition parameters (such as SubjectOrBodyContainsWords, From, etc.) that match the criteria.
      • Use -MoveToFolder with the target folder ID in the shared mailbox.
    3. The rule will process messages in that mailbox’s Inbox and move matching messages to the specified folder.

New-InboxRule supports conditions and corresponding ExceptIf... exception parameters, so exceptions can be added if required.
